The Workplace Experience Host is the first point of contact at our client premium London office, delivering a warm, professional and highly organised front-of-house service.
This is a hybrid role combining concierge-style reception with broader workplace support β including visitor and pass management, mail and deliveries, internal communications and light workplace administration.
The role suits someone who takes pride in first impressions, thrives on variety and is comfortable being the go-to person for everything happening at reception.
Key Responsibilities
- Reception, Visitor & Access Management
- Deliver an active meet-and-greet and concierge-standard welcome to all visitors, clients and colleagues.
- Operate a full switchboard function, answering, transferring and triaging calls.
- Manage the daily visitor list and issue, track and reconcile limited-access guest passes (circa 60 per day).
- Cross-check visitors, including international and VIP guests, against the global permanent-pass list (approx. 650 names).
- Notify hosts of guest arrivals via Slack and liaise with building reception to confirm guests can be sent up.
- Manage the guest-pass drop box and handle lost or forgotten pass queries.
- Mail, Deliveries & Workplace Support
- Collect and check deliveries from the main building reception and post room.
- Receive, unpack and distribute scheduled food and perishables deliveries (Mondays and Wednesdays), including weekly stock checks.
- Flat-pack delivery boxes and place by the service lift for collection.
- Carry out light workplace housekeeping and kitchen stock monitoring.
- Communication, Administration & Reporting
- Use Slack to communicate internally and email to manage other communications and notifications.
- Maintain accurate visitor and pass records and circulate pass lists as required.
- Report building and workplace defects promptly to main/building reception.
- Support wider ad hoc administrative tasks as directed by the client and Samsic management.
- Health, Safety & Emergency Response
- Act as a trained Fire Marshal, supporting the weekly fire alarm test and six-monthly fire drills.
- Respond to workplace incidents in line with First Aid / EFAW training.
- Follow food hygiene procedures for all food-handling duties, including weekly perishables checks.
- Escalate incidents, hazards or emergencies in line with site procedures.
Person Specification
- Previous experience in a front-of-house, reception or concierge role, ideally in a high-visitor-volume, hospitality or corporate workplace setting.
- Confident, professional telephone manner with switchboard experience.
- IT-competent, with confidence using Apple Mac, Slack and email.
- Excellent communication, organisation and customer-service skills.
- Flexible and proactive, comfortable managing varied workplace-support tasks alongside reception duties.
- Eligible to work in the UK.
- First Aid / EFAW certification (or willingness to train).
- Fire Marshal / Fire Warden training (or willingness to train).
- Food hygiene certificate (or willingness to train).
