We are seeking a highly organized Workplace Experience Manager to support our London office, managing a Workplace Manager based in Warsaw to cover European and Taiwan offices. This role is vital for creating a welcoming, well-run environment where employees can excel. You’ll help maintain the physical space, support daily operations, and contribute to the broader global workplace team. This is an in-office role, 3 days per week, with flexible scheduling based on business needs.

WHAT YOU’LL DO

  • Management
    • Manage the Warsaw Workplace Coordinator.
    • Ensure the Warsaw manager completes daily duties and is onsite 3 days a week: Tuesday, Wednesday, Thursday.
    • Oversee the Amsterdam, Hamburg, Porto, Taipei offices and facilities alongside the Warsaw manager.
  • Office Operations & Facilities
    • Serve as the primary contact for office support, working with building management on cleanliness, maintenance, repairs, and access issues.
    • Track tickets for repairs, desk setups, and space improvements.
    • Conduct regular space audits to ensure tidiness, functionality, and stock levels.
    • Coordinate moves, desk resets, and setup tasks.
    • Assist IT with basic troubleshooting (e.g., monitor connections, conference tech).
    • Maintain a safe, secure, and functional environment, ensuring equipment is operational.
    • Ensure compliance with UK health and safety laws, including fire safety, risk assessments, and inspections.
    • Support environmental and EHS initiatives, promoting sustainable resource use and waste management.
    • Update emergency procedures, including first aid, fire warden duties, evacuation, and business continuity.
    • Stay informed about industry best practices for office management.
  • Food & Beverage
    • Order and stock snacks and beverages, maintaining cleanliness and supplies.
    • Coordinate lunch deliveries, manage logistics, and handle cleanup.
    • Maintain inventory of office supplies and electronics.
  • Events & Employee Experience
    • Support onsite and offsite events, including executive visits and All Hands meetings.
    • Develop workplace standards with HR to ensure a positive environment.
    • Collaborate with People Team and leadership on engagement initiatives.
    • Gather employee feedback to improve office operations.
    • Serve as a resource for employee inquiries and internal communications.
    • Assist with travel arrangements, hotel bookings, and partner negotiations.
  • Employee Onboarding Support
    • Act as an in-office contact for new hires' questions.
    • Send welcome emails with key building info.
    • Conduct office tours for new employees and visitors.
  • Administrative & Executive Support
    • Support scheduling, vendor visits, and documentation.
    • Assist during executive visits and company events.
    • Partner with Executive Assistants for meetings, travel, and offsites.
  • Vendor & Budget Coordination
    • Manage vendor relationships, ensuring quality and performance.
    • Handle confidential information and ensure compliance with regulations.
    • Track expenses and support budget planning.
    • Negotiate contracts and process invoices.
  • Global Workplace Support
    • Provide coverage for global teammates when out of office.
    • Participate in global projects and data collection efforts.
    • Coordinate across time zones for smooth collaboration.
