We are seeking an experienced and highly organized Event Project Manager to lead the planning, coordination, and execution of complex, high-impact events. In this role, you will play a critical part in bringing events to life — serving as both a strategic partner and the operational backbone that ensures every element comes together smoothly. From initial concept through post-event wrap-up, you will oversee timelines, manage partners, and drive flawless execution. Skills:
- Project Planning & Timeline Management: Build and maintain detailed project plans and delivery schedules using Workfront (or similar PM tools), ensuring clear task ownership, deadlines, and dependencies. Develop and manage master timelines, Gantt charts, and workback schedules to support project visibility and tracking across partners. Ensure resource allocation, capacity planning, and task prioritization align with strategic goals.
- Cross-Functional Coordination: Collaborate with cross-functional teams (creative, content, marketing, design, and delivery) to gather requirements, set timelines, and align on deliverables. Facilitate regular planning and status meetings, providing clear updates and maintaining strong communication channels across teams. Manage collaborator expectations and foster alignment through proactive updates and blocking issue of risks or delays.
- Risk, Issues & Dependency Management: Identify potential project risks and blockers early, implementing mitigation strategies and advancing critical issues to leadership as needed. Track interdependencies across workstreams to ensure timely execution and continuity of deliverables. Maintain risk registers and contingency plans to safeguard delivery outcomes.
- Reporting & Process Optimization: Lead weekly project reporting, including timeline progress, risks, and resource planning insights. Contribute to process improvement initiatives by documenting lessons learned, optimizing workflows, and supporting the development of standard processes for project delivery.
Education:
Strong planning, scheduling, and multitasking skills to manage complex project timelines effectively. Confident user of project management software Workfront. Excellent communicator with natural organizational abilities to coordinate across teams. Strong focus on processes, with the ability to adjust and thrive in demanding situations. Experience in events, production, logistics, or agency environments is preferred but not mandatory. At least 5 years of project management large scale projects.
