Position Summary: We are seeking a highly organised and personable Front Office & Business Support Coordinator to be the first point of contact for our visitors and a key support to our internal teams. This role combines reception duties with a broad range of administrative and coordination responsibilities, contributing directly to the smooth and professional operation of our business. As a key representative of the company, you will play a vital role in maintaining our welcoming and secure environment, supporting business operations, and ensuring that our office and documentation processes run efficiently. Key Responsibilities
- Greet and sign in all visitors, check identification, and provide H&S inductions in line with company procedures.
- Maintain a tidy, welcoming, and organised reception area and meeting rooms.
- Arrange and prepare refreshments and catering for meetings and events.
- Escort visitors to meeting rooms, ensuring all safety protocols are followed.
- Act as Fire Marshal and ensure visitors are briefed on emergency procedures.
- Monitor security systems including cameras and access controls.
- Assist the Accounts team and provide general administrative support as required.
- Help compile technical documents alongside Project Managers, Engineers, and the Quality team.
- Perform general secretarial duties such as answering phones, typing documents, and electronic filing.
- Maintain back-office supplies and ensure desk coverage is arranged during breaks and absences.
- Promote and uphold the company’s culture and core values in all interactions.
- Support ongoing improvements and efficiency in reception processes, including exploring automation tools and telephone systems integration.
Skills, Knowledge and Expertise
- Previous experience in a receptionist, front-of-house, or administrative support role.
- Professional, friendly, and confident communication skills—both in person and over the phone.
- High level of organisation and attention to detail.
- Proficiency with Microsoft Office Suite and document management systems.
- Ability to handle confidential information with discretion.
- Comfortable working independently and as part of a team.
- Knowledge of workplace safety and emergency procedures is a plus.
- A proactive, solutions-focused attitude and willingness to take initiative.
- Experience with switchboard systems and/or visitor management software is advantageous.
