Overview
Salford Primary Care Together (SPCT) is looking for experienced Medical Administrators to join our practice team within Salford. Location: Eccles Gateway (1 x 22.5–30 hours) with potential to work across other SPCT sites (Eccles, Little Hulton and Willow Tree) as required by the organisation.
Job Purpose
As a Medical Administrator it will be your responsibility to aid in the seamless running of the practice by completing administrative tasks efficiently and accurately. You will have strong and consistent communication skills used in a friendly approach towards all patients, visitors and colleagues. You will be able to work well collaboratively as well as individually in a fast-paced, care-centric environment to deliver high-quality patient care and meet organisational priorities.
Main duties
- Offer general assistance to the Practice team and project a positive, friendly image to patients and other visitors, either in person or via the telephone.
- Undertake a variety of administrative duties to assist in the smooth running of the Practice, including provision of secretarial and clerical support to clinical staff and other members of the Practice team.
- Facilitate effective communication between patients, the primary healthcare team, secondary care and other associated healthcare agencies.
- Scan referral letters onto patient records if required.
- Liaise with hospitals and secondary care about patient appointment and test result queries.
- Record incoming and outgoing insurance reports, allocate reports to the Doctors and monitor that payment is received.
- Photocopy medical records when requested by Insurance Companies, Solicitors or Doctors.
- Manage stock levels and order all secretarial and practice stationery.

Job Responsibilities
As an Administrator you will work with the team to support the smooth running of the practice, completing administrative tasks accurately and efficiently. You will communicate clearly with patients, visitors and colleagues and work both collaboratively and independently in a fast-paced, care-centric environment to deliver high-quality patient care.
Key Responsibilities
- Receive patients at the surgery in a friendly manner and efficiently check-in those with booked appointments.
- Answer and make telephone calls using a helpful, problem-solving approach.
- Maintain good housekeeping of admin and reception areas and ensure visitor sign-in/out; report issues to the line manager.
- Monitor patient flow and inform patients and staff of delays or potential problems; escalate urgent medical needs to clinical staff as required.
- Explain practice arrangements and formal requirements to patients, including temporary registrations; ensure registration procedures are completed promptly.
- Undertake a variety of administrative duties and provide administrative/clerical support to clinical staff.
- Gain competency in IT applications (EMIS, DocMan, X-On, AccuRx and Bright HR) as directed.
- Book appointments and recalls with sufficient information to enable clinical staff to access records and prioritise workload.
- Process prescription requests as directed and develop competency in clinical coding.
- Facilitate communication between patients, primary/secondary care and other healthcare agencies.
- Typing/processing referral letters and general correspondence; manage NHS e-referral queries and keep referral templates up to date.
- Scan correspondence onto patient records as required; liaise with hospitals about appointments and test results queries.
- Handle queries from Clinicians, Management and Patients; manage requests regarding medical records and information with appropriate consent and SPCT procedures.
Qualifications and Experience
Essential:
Good general education including GCSE English and Maths or equivalent; Computer literacy with experience of the full Microsoft Suite.
Desirable:
Evidence of Primary Care training courses; Driving licence/use of a car; Previous clerical or secretarial experience (minimum 1 year); Prior experience in General Practice; Experience with clinical systems (e.g., EMIS, Docman, Footfall).
Knowledge and Skills
Essential:
Excellent organisation of own workload; initiative to solve problems and keep systems up to date; excellent interpersonal and written/verbal communication; ability to cope in stressful or emergency situations; ability to multi-task in a fast-paced office; ability to work collaboratively or independently.
Desirable:
Confidence in minute taking.
