About the Role
Do you thrive in a fast-paced environment and have an eye for detail? We are looking for a highly organised and proactive Administration Officer to join Salford Property Link, the in-house private sector property management service for Salford City Council. This office-based role is essential to the smooth operation of the service and will involve managing a variety of administrative tasks, liaising with tenants, landlords, contractors, and external partners. As a keyholder, you will have key responsibility for office-based tasks, including handling all calls, drafting tenancy and landlord agreements, and maintaining accurate tenancy-related documents. This is a fast-paced role where attention to detail and the ability to manage multiple tasks are crucial.
Key Responsibilities
- Front-line Contact: You will be the first point of contact for all incoming calls and email enquiries from tenants, landlords, contractors, and external partners, ensuring professional and efficient responses.
- Document Management: Draft, check, and maintain a variety of important documents, including tenancy agreements, landlord agreements, and other tenancy-related paperwork. You’ll ensure these are accurate and comply with legal and internal requirements.
- Data Management: Enter and update data across various systems, ensuring information is accurate, up-to-date, and easily accessible. You’ll also generate reports and analyse data to support operational decision-making.
- Office Administration: Maintain effective office systems, order goods and services, process invoices, and manage payments and reconciliations in line with the Council’s financial policies.
- Team Support: Support the wider Salford Property Link team by monitoring off-site visits, handling queries, and escalating issues when necessary. You’ll also play a role in developing and improving business processes to ensure the service runs smoothly.
What We Need from You
- Attention to Detail: Strong focus on accuracy when drafting agreements, maintaining records, and managing data.
- Organisation & Time Management: Ability to manage multiple tasks in a fast-paced environment, ensuring deadlines are met.
- Communication Skills: Excellent verbal and written communication skills to interact with a wide range of people, including tenants, landlords, contractors, and internal teams.
- IT Proficiency: Competent in the use of Microsoft Word, Excel, Outlook, and other software tools. Experience in using databases and managing data is essential.
- Problem-Solving: Ability to investigate and resolve discrepancies or queries independently.
- Initiative & Responsibility: Comfortable working independently in an office setting, taking ownership of tasks, and using your initiative to support the team.
