Freelance Event Operations Administrator – c£175/DAY

Supporting my client’s global team to deliver amazing experiences for their customers at live events worldwide to include B2B trade shows and C-suite events. I am seeking a Senior Operations Administrator to work directly for my client on a six-month contract (with the potential to extend).
The Global Events Operations department is a high functioning central team, creating efficient processes, organising meeting management platforms, building digital registration pages, and supporting lead capture functionality. An all-round experienced senior team administrator and operations support is required
You will be an extremely organised, enthusiastic person able to hit the ground running. A fast learner with meticulous attention to detail and comfortable working in a high-pressure environment.
RESPONSIBILTIES
The purpose of this role is to assist the Global Events Team to ensure the seamless running of my client’s corporate events
- Creating bespoke Meeting Managementsystems per event in established software
- On-site support at live event international tradeshows – especially relating to meeting management, sometimes customer facing
- Creating digital registration pagesin established modular based software, scheduling reminder emails and managing reports
- Upload sensitive data into a dedicated in-house system
- Cross check data is published accurately
- Tracking and reporting on any issues
- Escalating potential delays
- Liaise between departments, take minutes and track action items
- Training users on the tooling you support
- Maintain up to date process documentation
- Reporting on activity above
EXPERIENCE AND SKILLS
- Highly organised with an eye for detail
- Self-starter, organisational talent, creativity, and project management skills are a must-have
- Team player
- Previous experience, working with Meeting Management to include creating the framework (e.g. setting up the digital pathway relating to rooms, meeting type and personnel – scheduling and rearranging in a high-pressure live environment with demanding stakeholders). Previous experience using the Jifflenow, eplanner pro, Cvent etc. platform a huge plus
- Previous experience setting up event registration pages a bonus – ideally using platforms such as Cvent, SplashThat (similar to modular Wordpress)
- A good understanding of the customer experience visiting tradeshows
- Experience with databases: Excel, creating reports and pivot tables, dashboards etc.
- Excellent verbal and written communications skills in English, further languages are beneficial but not essential
- Proactive – identify potential issues and raise them – must be confident to speak up!
- Presentation skills – you will be required to present information on the tools you support to large international audiences on Teams calls
- A sense of humour is essential!
LOCATION
Remote working with some (limited) travel. Reliable high speed internet connection a must. PC provided. MUST be available for potential international travel (often, but not limited to, USA). All expenses covered.
My client is open to accommodating various working time models and scenarios. Flexibility is required with very occasional anti-social/weekend hours during live events.
