Our client has been serving members of the public for approaching 40 years. They provide a broad and detailed range of legal services to their clients in London & Nationally. They are seeking an experienced and highly organised Legal Secretary to support the Head of Probate and the Head of Property Management. This is an important, client-facing role within a busy and respected South London law firm. The successful candidate will provide full secretarial support across both departments and must be confident working with conveyancing and private client matters.

Are you the right person for the job?

  • Minimum of 3 years' experience in a legal secretarial role, specifically within property and probate
  • Strong knowledge of conveyancing transactions (residential and/or commercial) and probate processes
  • High level of proficiency in using InfoTrack and Osprey Legal systems
  • Excellent digital dictation and copy typing skills
  • Strong organisational skills, with the ability to manage a busy workload and prioritise effectively
  • Excellent communication and interpersonal skills, with a professional and calm approach
  • Ability to maintain confidentiality and work with accuracy and attention to detail

What will your role look like?

  • Provide full secretarial and administrative support to the Head of Probate and the Head of Property Management
  • Prepare and amend legal documents and correspondence, including contracts, transfer deeds, wills, lasting powers of attorney, inheritance tax forms, probate applications, and letters
  • Open, maintain, and close client files in line with firm protocols and regulatory requirements, including anti-money laundering procedures
  • Manage diaries, arrange client meetings, and ensure the timely handling of all correspondence and documentation
  • Liaise directly with Aneesha Bhunjun and Alphonso Wynter on matter progress, deadlines, and client communications
  • Communicate professionally with clients, estate agents, mortgage lenders, HM Land Registry, HMCTS, and other third parties
  • Use InfoTrack and Osprey Legal software for document preparation, file management, and online submissions
  • Submit SDLT returns and Land Registry applications, and assist with the preparation and lodging of probate and estate administration documents
  • Ensure files are kept up to date and all documents are accurately recorded and stored
  • Perform general administrative duties, including photocopying, scanning, filing, and preparing bundles
