Purpose
To provide critical administrative support to the sales department by managing customer orders, preparing sales documentation (quotes, proposals, contracts), maintaining CRM accuracy, and ensuring efficient communication with internal and external teams. The Sales Office Administrator plays a key role in enhancing the effectiveness of the sales function and supporting overall business growth.
The Sales Office Administrator is responsible for:
- Processing all customer orders and sample requests accurately using the NAV computer system and in accordance with company procedures.
- Monitoring emails and faxes to ensure orders are processed efficiently and daily targets are met, while checking customer orders carefully to ensure all requirements are fulfilled.
- Maintaining accurate customer records on the NAV system, supporting finance queries relating to customer orders, and preparing daily order reports for the Sales Office Manager.
- Maintaining files and records, ensuring information is readily available and accurate when required.
- Meeting and greeting customers and visitors, arranging hospitality where required, and communicating effectively with internal and external stakeholders regarding order-related queries.
- Supporting updates to the sales order process manual, assisting with sales and marketing administration, and building strong working knowledge of internal teams and geographical regions to provide accurate information.
- Building effective working relationships across the business, demonstrating a one team approach to achieving performance standards and business objectives.
- Undertaking any other reasonable duties as may be required by your line manager or the management team, consistent with the scope of the job.
