Overview
In a nutshell
You would be working in collaboration with the FM Compliance Team to provide support to the wider FM Performance team and Property Division, alongside our key partner C365 and external stakeholders.
Demonstrating a compliance background, this role will focus on administrative functions using our CAFM application, ensuring timely and accurate prioritisation of tasks. You will be responsible for the efficient flow of information between the business, and external contractors, and translating this to ensure our estate remains compliant. This includes but not limited to providing a range of administrative, analytical and organisational tasks based upon corporate priorities and agreed in line with contractual obligations.
What you are accountable for
- Understand the objectives of the areas overseen by the Facilities Management (FM) team and be able to engage and influence cross functionally and externally to ensure priorities are delivered.
- To upload and prioritise information using our CAFM system, and to work with the Compliance Coordinators to assist with general requests and Mobilisations through a shared inbox.
- To arrange and coordinate meetings internally and externally, to gather information to make data-led decisions.
- To provide statistics and current PPM and CPPM contracts to stakeholders.
- Summarise contracts and performance documents to ensure information is clear and concise.
- Administer and own the information in project tracking documents in relation to the cost base reduction programme.
- Offer assistance to the wider team in relation to specific projects and provide other administrative support and tasks as requested.
- Work collaboratively with our cross-functional internal FM Systems team, comprising of our Compliance Coordinators, Application Manager, System Coordinator, Helpdesk Manager, and Supplier Payment Coordinators.
What you need to know
- Strong background in Compliance, ideally in the FM sector
- Strong technical knowledge and experience of using administrative systems
- Experience working within a team, and assisting with mailbox management
- Proven written and verbal communication, numerical and analytical, skills
- Experience of providing deliverables to aid Mobilisations and Contractual changes
- Proven experience of simplifying processes for multiple stakeholders
- Proven ability to organise and prioritise work for multiple stakeholders and work on own initiative with confidence
- An understanding and appreciation of working in a fast-paced and agile environment
- Appreciation and understanding of the wider business
- Impact and influence skills with the ability to engage stakeholders at all levels within and external to the business
- Interpersonal skills and ability to network with all areas of the business
- Excellent computer skills (Microsoft packages to include PowerPoint, Excel, Word and Office 365)
Desirable
- Experience with a CAFM system (Verisae or similar)
- Experience with Power Platform or other automation tools
- Experience supporting projects with stakeholders whilst adhering to business priorities
