We’re looking for an experienced personal assistant to support multiple senior leaders within the Sainsbury’s Tech division. You’ll provide professional, confidential support, including diary management, meeting organisation, travel arrangements, expense processing, and proactive communication.
In a nutshell, as Personal Assistant to multiple senior leaders you’ll provide administrative, organisational and analytical support, manage diaries, organise meetings, assist with presentations, arrange travel and accommodation, handle expenses and deliver accurate, timely information.
What You Need To Do
- Provide organised and comprehensive administrative support in all areas as required by the leaders.
- Manage and co‑coordinate multiple diaries, schedule appointments daily, prioritise at short notice, proactively manage regular and long‑term commitments through liaison with relevant business areas and cross‑functional teams.
- Read and prioritise inbound communications to leaders ensuring timely and accurate responses are issued and priorities are flagged.
- Maintain and administer systems on behalf of the leaders where approved – such as SSP, Concur, MyHR, processing holiday requests and expenses in a timely manner.
- Act as first point of contact within the team, investigate queries from internal and external stakeholders, take ownership through to resolution.
- Ensure information required by the leaders is prioritised, collated, tracked and stored in a manner that facilitates timely retrieval while considering information confidentiality.
- Collate agendas, pre‑reads, record next steps and issue minutes for key meetings as required.
- Facilitate clear, accurate and timely communications to the team and stakeholders at all levels when required by the leader.
- Organise internal and external events, visits, conferences with the team and with suppliers or external bodies as required.
- Work cross‑functionally across other domains, particularly with other support and central functions to ensure information and meetings are managed in a prioritised and efficient manner.
- Arrange and coordinate timely and cost‑efficient travel arrangements for the leaders.
- Be an active and positive team player of an established PA team, assisting the team with holiday cover when required.
- Develop strong professional relationships with the leaders, uphold business values, and maintain a high level of discreteness and confidentiality at all times.

Essential Criteria
- Proven experience managing multiple diaries, ensuring efficient scheduling, prioritisation and responsiveness in a fast‑paced environment.
- Strong senior stakeholder management skills, with the ability to confidently support Directors and build effective relationships across all levels of the business.
- Demonstrable experience coordinating events and travel, including logistics, agenda creation and end‑to‑end organisation.
- Excellent communication skills, both written and verbal, with the confidence to make decisions independently and represent stakeholders professionally.
- Highly organised with exceptional prioritisation skills, able to manage competing demands while maintaining accuracy and attention to detail.
- Ability to handle highly sensitive and confidential information with discretion and professionalism at all times.
- Proficient in Microsoft Office applications (including Outlook, Teams and Copilot), with strong administrative and systems capability.
