Admissions Executive

About the Role

We are looking for a detail-oriented and service-minded Admissions Executive to support our admissions and student service operations.

The role focuses on application processing, document checking, enquiry handling, student pass matters, and coordination with students, parents, institutional partners, and sub-agency partners.

This position is suitable for someone who is organised, responsible, and comfortable working in a fast-paced education environment.

The successful candidate will support students throughout the admissions journey and ensure that applications are handled accurately, efficiently, and professionally.

Key Responsibilities

  • Admissions & Application Processing
  • Maintain and update student application records, documents, and relevant information in the internal database.
  • Review, check, and organise application documents to ensure completeness and accuracy.
  • Submit applications to universities, private education institutions, international schools, and relevant authorities.
  • Follow up on application status, missing documents, offer letters, acceptance procedures, and enrolment matters.
  • Assist with preparing application forms, student files, letters, and other admissions-related documents.
  • Student, Parent & Partner Support
  • Serve as a key point of contact for students, parents, partners, and sub-agency partners.
  • Respond to enquiries through email, phone, messaging platforms, online meetings, and face-to-face consultations.
  • Provide accurate information on admissions requirements, application procedures, document checklists, timelines, fees, and student matters.
  • Support sub-agency partners with student applications, document preparation, and case follow-ups.
  • Escalate complex or urgent cases to the Admissions Manager or relevant department when required.
  • Student Pass & Student Services
  • Handle ICA student pass applications, renewals, cancellations, and related formalities.
  • Assist students with medical examinations, hostel applications, arrival arrangements, and other pre-enrolment matters.
  • Coordinate with schools, institutions, and service providers to support a smooth student onboarding process.
  • Follow up with students and parents on outstanding documents, payment status, and enrolment requirements.
  • Administrative Support
  • Perform general administrative duties including data entry, filing, scanning, photocopying, and document management.
  • Maintain accurate communication records and application tracking updates.
  • Support internal departments with admissions-related administrative tasks.
  • Assist in improving application checklists, templates, and workflow efficiency.
  • Ensure confidentiality and proper handling of student and partner information.

Requirements

  • Bachelor’s degree or above.
  • Minimum 1 year of administrative, admissions, student service, or education-related experience.
  • Experience in international education, private education institutions, education agencies, or student services will be an advantage.
  • Good understanding of education application procedures and student documentation is preferred.
  • Highly organised, meticulous, and able to manage multiple applications at the same time.
  • Strong attention to detail and ability to follow procedures accurately.
  • Good communication and interpersonal skills.
  • Service-oriented, patient, and professional when dealing with students, parents, and partners.
  • Able to work independently as well as part of a team.
  • Proactive, flexible, and willing to learn new systems and procedures.
  • Proficient in Microsoft Word, Excel, Power Point, Google Suite, and common office collaboration tools.
  • Excellent proficiency in both English and Chinese to communicate effectively with students, parents, and partners.
