We have an exciting opportunity to work within a dynamic marketing team that spans all five practices: Sagentia Innovation, Medical, Regulatory, Defence, and Aviation. The Marketing Assistant will work closely with Marketing Managers and Executives in each practice. The role will suit an organised person who enjoys being a key team member, communicates effectively, and can multitask. Based in Epsom, the successful candidate will occasionally travel to other UK locations (mainly London, Cambridge and Bristol). This role will suit someone looking for an administrative role in a marketing context. Should they wish to pursue a career in marketing, they will have the opportunity to learn from a marketing team and progress within it.
The core function of this role is to support the marketing team in delivering their marketing plans by alleviating them of administrative tasks and activities.
Key Responsibilities
- Marketing administration and support:
- Source and order branded merchandise and literature.
- Maintain stocks and handle distribution.
- Maintain building branding, reception literature, and client tour areas.
- Maintain photo library folder, including sourcing new images and assisting with photo shoots.
- Assist with membership and subscription registration and renewals.
- Updating email signature banners.
- Raise purchase orders, record spend and set up new suppliers.
- Handle and log inbound email and website enquiries.
- Support internal communication by keeping the intranet and internal screens up to date.
- Collating analytics of marketing activity.
- Event administration:
- Responsible for booking and supporting marketing events that business development personnel attend.
- Event coordination might include:
- Closely monitoring and communicating about the overall event plan.
- Researching events.
- Supporting event business case preparation and approval.
- Event booking, planning, logistics, and supporting marcomms and promotion.
- Post-event follow-up tracking and reporting on the ROI.
- Content production support:
- Always working within our brand guidelines, you will work with the marketing team and external agencies to:
- Support content production and visual graphics in PPT, Canva and sometimes other applications.
- Support the development, creation, printing, and distribution/shipping of marketing materials such as merchandise, case studies, sales slides, brochures, whitepapers, infographics, video, photography, animations, business cards, and any branded collateral.
- Email campaign administration:
- Use email templates and broadcast systems to prepare and send email campaigns and newsletters.
- Manage contact lists, provide email delivery reports, update contact statuses, monitor and report on follow-up activities.
- CRM data maintenance and cleansing as and when required.
Skills, Knowledge and Expertise
- Good academic background.
- Collaborative team player - Ability to work effectively as part of a team with good communication skills.
- Able to build strong relationships with internal stakeholders and external partners.
- Good organisational and interpersonal skills.
- Ability to prioritise tasks.
- Ability to multitask and operate effectively and efficiently under pressure in a fast-moving environment.
- Good working use of PowerPoint, Word, and Excel.
- Experience with finance systems such as Deltek (or willingness to learn).
- Experience with CRM would be an advantage.
- Excellent attention to detail and an eye for design.
- A willingness to learn and able to exercise initiative.
- Ability to work under tight deadlines.
- Administration experience is desirable, and previous experience working in a marketing function or B2B or a services organisation would be an advantage.
Given that this role will require some work within our Defence team, the candidate will need BPSS clearance, which we can facilitate.
