We're looking for an organised and proactive Office Manager/Senior Administrator to play a key role in supporting the smooth running of our office and project operations.

This is a varied role that sits at the heart of the business, providing administrative support across areas including Business Development, Purchasing, Finance, Marketing, Facilities, QESH, and office infrastructure.

You'll also provide essential administration support across our projects, helping to maintain accurate documentation, project registers, transmittals, and action trackers.

Working closely with internal teams and clients, you'll support document management processes, coordinate information, and ensure project documentation meets the required quality and compliance standards.

You'll have the opportunity to take ownership of improving how we work, identifying opportunities to introduce best practice, streamline processes, and create a more effective and efficient office environment.

You'll also monitor and report on office performance, supporting senior managers with the information they need to make informed decisions.

You will

  • Initiate, oversee and lead all office services activities with the support of managers, staff and stakeholders
  • Have the overall responsibility for Office and Project Administration Services across the company
  • Create and implement best practice office support services, project processes and procedures to aid and improve business performance
  • Evaluate the challenges faced by the business and take action to develop the office services to address them
  • Provide office support to the business and onsite engineering teams
  • Be responsible for overseeing all aspects of office services from contract award to handover on all projects
  • Support in the preparation of technical and contract documentation for issue and analysis of returned tenders
  • Assist with the Documentation Control of contracts
  • Review contract documents prior to release to the client
  • Report on Office Services activities and processes on a regular basis to the Senior Management team, ensuring accurate and timely reporting of the relevant Key Performance Indicators
  • Ensure that Environmental, Health and Safety, Engineering and Quality standards and procedures are adhered to in provision of all Office services
  • Develop and maintain strong relationships with all staff and relevant clients
  • Work collaboratively, negotiate and engage with all staff and relevant clients to facilitate delivery and compliance with the engineering strategy
  • Support Sales team in developing product specification and quote activities
  • Appraise and interpret client requirements to ensure that technical, legislative and commercial aspects are delivered on each project
  • Liaise and coordinate with clients, members of the engineering team and contractors on administrative and document issues
  • Provide office services and administrative support to all projects, purchasing, finance and facilities.

We are looking for

Experience and Knowledge

  • At least 2 years’ experience in office-based, secretarial or customer-facing work experience.
  • Proven experience working within an administrative capacity.
  • Confident knowledge of a range of software packages, with strong IT skills.
  • Commercially and financially astute with experience of managing budgets.

  • Excellent communication, negotiation and relationship-building abilities, with a talent for connecting with people at all levels.
  • Highly organised, with the ability to manage competing priorities and meet deadlines.
  • Trustworthy and discreet, as you'll often be handling confidential information.

To be considered for this role you will be required to

  • Pass DBS and BPSS check.
  • Have lived in the UK for the last 5 years.
  • Have no spent or current criminal convictions.
  • Be prepared to work in the Nuclear defence sector.
  • Experience in regulated industry (preferred).
