We’re looking for a Receptionist / Office Administrator to join our team in Sheffield on a fixed term contract covering maternity until April 2027. In this role, you will ensure the smooth running of our office and provide excellent support to the wider ITI team. You’ll be at the heart of the business, managing reception duties, coordinating documents, handling car hire bookings, and providing general administrative assistance to colleagues across the organisation. This role is perfect for someone who is organised, proactive, and enjoys supporting a busy team while contributing to an efficient and professional office environment.
Salary: Up to £26,000, depending upon skills and experience.
You will:
- Receive and direct incoming calls
- Open and distribute incoming and outgoing post
- Ensure the general reception area is tidy and adhering to the clean desk policy
- Maintain the coffee machines in communal areas
- Download P11D reports through Nexus and record hire car vehicles on MID Allianz for Insurance records
- Reconcile all Trakotel invoices with correct cost codes and authorise payments for Purchasing
- Check on Stationary or Catering supplies and place any orders as required
- Distribute milk on Mondays and Wednesdays in each canteen area
- Carry out weekly checks and stock up on the tea/coffee/sugar supplies in each canteen area
- Reconcile Nexus (Car Hire) invoices with correct cost codes and authorise payments for purchasing
- Carry out monthly checks on driver licence expiry dates for driver declarations – if any due to expire, send reminder emails to the drivers to submit their new driver licence details and processing forms as required
- Receive and welcome visitors
- Maintain visitor logs via the visitor sign in system
- Handle access control and the issue of visitor and temporary staff badges
- Prepare refreshments and catering orders for visitors
- Reconcile all hospitality invoices with the correct cost codes and authorise payments for Purchasing
- Maintain fire register with any new starters/leavers
- Process Business use of Personal Vehicle forms
- Carry out any general administrative tasks requested to support the business
- Display posters or signs around the office and change them when new documents are produced
- Book and manage meeting rooms
- Carry out Annual DVLA checks and email all staff to remind them that Driver Declaration Forms are due to be returned, checks to be made and spreadsheet updated with confirmation that drivers are covered – this task takes place in March
- Archive at the end of the Year in the Travel and Admin Inbox; creating new folders for the next year
- Archive at the end of the Year in the Reception, Travel and Admin folders in Reception drive; creating new spreadsheets to use for Travel, Driver Declarations, out of hours support spreadsheets etc
We are looking for:
Experience and Knowledge- Previous experience working within an Administrator/Receptionist role
- GCSEs grade A-C (or equivalent) in Maths and English
- Ability to manage multiple, competing priorities
- Computer literate, in particular: proficient user of IT packages including MS Office and Adobe Acrobat
- Good standard of written and oral communication
- Willingness to take ownership, be proactive and demonstrate problem solving skills
- Excellent attention to detail skill and ability to prioritise work
- Excellent time management, interpersonal and organisational skills
- Presentable, professional and approachable
- Ability to work and develop relationships with people remotely e.g. via email and phone
- A can-do attitude and willingness to succeed
- Ability to show initiative and can see a task through to the end
- Calm and effective when working under pressure
