Safeguarding Associates for Excellence Ltd (SAFE Ltd) is a UK-based safeguarding consultancy and training provider delivering accredited safeguarding training, audits, advisory services and compliance support across education, health, housing, sport, charities and other sectors. SAFE works with senior leaders, boards, safeguarding leads and frontline professionals to ensure organisations meet statutory safeguarding duties and embed high-quality, defensible safeguarding practice. Role details

  • Contract Type: Remote / Hybrid
  • The post-holder must live in or around the Exeter area, to enable attendance at in-person meetings, events and operational activity when required. Occasional travel beyond the local area may also be required.
  • Location: Remote / Hybrid
  • Reporting To: Office Manager and Directors
  • Salary: Starting salary £25,350 per annum, with progression dependent on experience and performance.
  • Pension: Applicants aged 22 and over will be automatically enrolled into the company pension scheme in line with statutory requirements.

Role purpose

The Administrative Officer plays a central role in the effective day-to-day operation of SAFE Ltd. The post provides comprehensive administrative, coordination and systems-based support across safeguarding training delivery, consultancy services, accreditation processes, invoicing and professional communications. This role requires a highly organised, proactive and technically competent administrator who can manage multiple workstreams, maintain accurate records, use digital systems confidently and handle sensitive information with professionalism and discretion at all times.

Key responsibilities

  • Training & Course Administration: Set up courses, manage bookings, delegate records, attendance and trainer allocation in accordance with SAFE’s Training Management System (TMS). Issue joining instructions, course communications, materials, certificates and CPD confirmations. Maintain accurate delegate data and course records. Generate reports from SAFE’s TMS and CRM to support operational planning, quality assurance and invoicing. Act as a point of contact for training-related enquiries from clients, delegates and trainers.
  • Consultancy & Client Support: Provide administrative support to consultancy contracts, retainers and ad-hoc advisory work. Maintain accurate client records, correspondence logs and document version control. Support the preparation, formatting and issuing of proposals, reports and safeguarding documentation. Liaise professionally with safeguarding leads, HR teams, senior managers and board-level contacts.
  • Accreditation & Quality Assurance: Support SAFE Ltd’s internal accreditation and CPD framework and maintain accurate records of accredited courses, audits and quality assurance activity. Supporting and updating of training materials, workbooks, policies and guidance.
  • Finance & Invoicing Administration: Raise and issue invoices accurately and promptly in line with contracts and delivery schedules. Track payments and maintain accurate financial records. Liaise with the Office Manager, Directors and external accountant, as required. Ensure records are clear, auditable and well organised.
  • General Administration & IT Systems: Demonstrate a high degree of competence in the day-to-day use of IT systems. Use Microsoft Outlook effectively for professional communication, scheduling and diary management. Maintain organised digital filing systems and document control. Draft, format and proofread professional correspondence and documents. Provide flexible administrative support across the business as required.

SAFE Ltd is a safeguarding-focused organisation. The post-holder is expected to:

  • Uphold SAFE Ltd’s safeguarding values, professional standards and code of conduct.
  • Handle sensitive and confidential information appropriately and lawfully.
  • Follow safeguarding policies, information-sharing protocols and data protection requirements.
  • Hold a Basic DBS check, or willing to undertake a Basic DBS check following a conditional offer.

Person specification

  • Proven experience in an administrative or business support role.
  • High level of IT competence.
  • Confident use of Microsoft Outlook for communication and scheduling.
  • Experience using course management software, booking software, database(s) or similar systems.
  • Excellent organisational, planning and time-management skills.
  • Strong written and verbal communication skills.
  • High level of accuracy and attention to detail.
  • Ability to manage competing priorities and work independently.
  • Professional discretion and a clear understanding of confidentiality.
  • Reside in, or within, reasonable travelling distance of the Exeter area.
  • Experience in dynamic business; training, education, health, safeguarding or compliance-based environments are desirable.
  • Experience supporting remote teams or associate networks.
  • Experience working within a small team and SME.

  • Holiday entitlement of 28 days.
  • A company work laptop will be provided as part of this role.
  • Start Date – Preferably, SAFE would like to appoint someone to start the role end of March 2026 or early April 2026. Please be aware that for the initial training period (4 x weeks), in-person meetings will be required on a regular basis within the Exeter area (venue TBC).
