As a Document Controller (Maternity Cover), you'll play a pivotal role in our mission to create a state-of-the-art cancer centre. This role is responsible for ensuring that all document management processes are correctly followed, including the intake, handling, and storage of project documentation. The Document Controller will maintain accurate and up-to-date records, such as design drawings, reports, registers, subcontractor communications, agendas, meeting minutes, quality inspections, and checklists. Administration and office tasks are part of the role, including the creation of templates, email correspondence management, agendas and minutes of meetings elaboration, events organisation, and maintaining work procedures.

Key Responsibilities include:

  • Archive, update, create & maintain registers/trackers to ensure that this is up to date.
  • Communicate and collaborate with ProjectCo General Manager, Construction Director and project managers.
  • Submission of emails, submittals, transmittals in coordination with other document controllers.
  • Establish a procedural framework: identify, collect, distribute and complete the controlled documents.
  • Work with auditors to maintain ISO status.
  • Maintaining various Project registers including but not limited to drawings, BIM models, compensation events, consents, notification transmittals etc.
  • Ensure the information and document control system is implemented in compliance with the Client's standard and is updated to reflect revisions to those standards.
  • Maintain a watchful and alert attitude toward Project Team meetings, developing routine reports and metrics to gauge a Project Team's success.
  • Support of O&M manual templates.
  • Maintenance of Health and Safety documentation and follow company procedures.
  • Promote agile software, oversee and record its upgrades through protocol to make Document Control more effective.
  • Prepare and input construction documents into Document systems and develop monthly reports and presentations.
  • Email draft preparation for official communications.
  • Support the General Manager and the Construction Director on a variety of tasks for official events, presentations and communications.
  • Sustain coordination and communication between contractor/s and management.
  • Additional duties associated with the role as determined by the management.

Essential criteria:

  • Right to work in the UK
  • 3 years' experience in a similar role
  • Previous Document Controller experience in engineering/construction
  • Demonstrated experience with the use of Adobe Acrobat and Document Control hardware and Software.
  • Experience with IT software, in particular the Microsoft suite, including Excel, Outlook, PowerPoint, Word.
  • Ability to analyze and come to conclusions.
  • Excellent time management, prioritization & organisation skills.
  • Ability to follow specific processes and procedures.
  • Exceptional attention to detail.
  • Ability to work in a busy environment.
  • Problem-solving skills and creative thinking.
  • Willingness to learn new skills and embrace emerging technology.
  • Team working and influencing skills.
  • Good listening, written and verbal communication skills.
  • Focused, self-motivated with a proven track record of establishing great professional working relationships at all levels.
