We are looking for a talented Executive Assistant to provide comprehensive administrative support to an SVP for the Europe, Middle East, and Africa regions. The role involves managing complex executive calendars across multiple time zones, arranging meetings and appointments, and coordinating domestic and international travel itineraries. The ideal candidate will be customer‑focused, capable of handling a demanding workload, and able to take initiative and collaborate to achieve results.
Overview of the Role
- Serves as the first point of contact for escalated issues that filter into the SVP office.
- Supports the executive with expense reports, travel arrangements, email and calendar management, and processing invoices; assists with tracking spending and budget management.
- Provides and/or creates reports and presentations through data gathering and process management, and works on special projects as requested.
- Arranges simple and complex on‑site and off‑site group events and meetings, including planning, budgeting, and logistics; may take minutes.
- Creates advanced correspondence including complex and sensitive emails, letters, memos, and reports, and drafts key communication pieces for executives.
Job Requirements
- Extensive administrative experience within a global organization.
- Direct experience supporting senior‑level executives in a dynamic, results‑oriented environment.
- Highest level of ethics, good judgment, and common sense due to the confidentiality of the role.
- Effective communication with high‑level contacts both inside and outside the company.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Access, especially Outlook) and strong editing/proofreading skills.
- High level of integrity, strong attention to detail, and multitasking ability.
- Positive, proactive attitude in challenging situations.
- Must be available to work in the Richmond (London) office three days a week, Tue/Wed/Thu.
