Job Summary
This role is offered on a fixed term basis for up to 9 months for maternity cover. The hours are part time, 22.5 hours per week.
If you are looking for a change and a rewarding role, Gloucestershire Health and Care NHS Foundation Trust (GHC) are looking for an administrator to work with our Child & Adolescence Mental Health Service (CAMHS) Children\’s Autism and ADHD Assessment Service (CAAAS). This is a busy, enthusiastic multi-disciplinary team, which has been formed to assess neuro-diverse young people and offer support immediately following any diagnosis.
Main duties of the job
Our preferred candidate will have an administrative background, with a great eye for detail and experience of using all Microsoft Office packages. The right colleague will need to have excellent organisational, time management and communication skills, with experience of speaking to people at all levels of an organisation.
Experience of working within a fast paced, process driven environment would be advantageous, but equally, if you think you have the right skill set and are motivated, we are happy to train and support the right colleague to become a part of this unique Team.
The Service is in high demand and we are looking for someone who want some variety in their work, some responsibility, quick action and thrive on accuracy. The last year has seen an unprecedented level of referrals, the right person will grow with the Team to continually adapt and develop our service in order to meet this demand and help us to deliver the best service.

Job Responsibilities
To provide effective administrative support to CAMHS SCAAS and Neuro Services.
To develop a thorough understanding of the service and processes used including referrals pathways and links with other CAMHS services.
To produce quality typed work using audio or digital dictation in addition to copy typing to produce letters, reports etc. To ensure that all communication is professionally presented, accurate, well-constructed and formatted in line with Trust guidelines.
Efficiently use appropriate systems to collect, collate and report data and information in an accurate format (e.g. Microsoft Excel, Word, PowerPoint) and have experience of, or be willing to learn, RiO the Trusts clinical database/recording system.
To maintain a well-managed filing system, both paper and electronic, to ensure ease of access and retrieval, in line with Trust protocols. Support with planning and recording of rotas, including annual leave, screening etc and ensure accurate and any updated information is available to the team within a timely manner.
Actively support team meetings, co-ordinate, collate and ensure accurate and timely distribution of papers, as needed. Ensure that minutes are accurate, well written and presented, and effectively distributed in a timely manner.
Person Specification
Essential
- GCSE level grade C education or equivalent including English
- NVQ Level 2 in administration or equivalent experience
- Word Processing/Typing eg RSA
- Proven experience of unsupervised administrative work in a busy office environment
- Previous experience of using software package Microsoft Office. Word, Excel, Outlook
- Experience of using customer/patient information system
- Experience of accurate Data Inputting and Retrieval
- Evidence of good literacy and numeracy skills
- Experience of maintaining a comprehensive, logical computerised filing system
Desirable
- NVQ Level 3 in administration or equivalent
- Experience in information analysis and provision of statistical reports
- Experience of typing using audio/digital dictation
- Diary management
- Previous experience of working within the NHS
