Conference and Event Co‑ordinator (0.5 FTE)

Join the Royal College of Physicians and Surgeons of Glasgow as a part‑time Conference and Event Co‑ordinator. This role involves planning, executing and supporting events, ensuring a seamless experience for stakeholders and clients.

Base pay range

Salary grade 3 – £25,640 (pro rata) March 2026.

Hybrid working: at least 50% on site, remaining time flexible as required.

Responsibilities

  • Plan and coordinate all College events in collaboration with the conference and event manager.
  • Manage internal and external stakeholder expectations and build strong client relationships.
  • Operate diary and venue booking systems, oversee venue selection and contract negotiations.
  • Coordinate hybrid event delivery, ensuring technical and logistical needs are met.
  • Maintain accurate event records and post‑event reporting.
  • Respond to client enquiries, resolve complaints diplomatically, and negotiate vendor contracts.
  • Support event team under tight deadlines, working variable shifts the majority of the week.

About You

  • A degree level education or equivalent experience.
  • Experience with diary and venue booking systems and hybrid event delivery.
  • Experience working in a busy corporate event venue and with event‑planning processes.
  • Excellent communication, organisational and influencing skills.
  • Strong interpersonal, teamwork and presentation abilities.
  • Client‑focussed, detail‑oriented, and able to work under pressure independently and within a team.
  • Strong negotiator and diplomatic complaint resolver with initiative.
