We now have an exciting opportunity for an Administrator to join our maintenance and repairs team. Based from our office at Queen Mary's Hospital in Sidcup, you will be providing administration support for our repairs and maintenance service on one of our healthcare contracts. This position will predominantly be based in the office, with the potential for up to one day per week working from home following the initial induction and training period.

The main purpose of the role is to ensure that repairs are scheduled efficiently and that work in progress (WIP) is pro-actively managed. You will act as the main link between our maintenance operatives and our contact centre team, interfacing on a front line level with our end Clients within the NHS.

As Administrator, other key responsibilities would include:

  • Monitoring and analysis of all repairs from inception to completion to ensure contract timescales are adhered to.
  • Escalating any issues to the Service Manager for timely action where targets may be missed.
  • Planning, monitoring and reviewing the scheduling management software (DRS) diary activities for maintenance operatives and sub-contractors.
  • Ordering and obtaining quotations for materials as needed, raising Purchase Orders and approving jobs for invoicing.
  • Updating databases, spreadsheets and management systems with cost information and timesheets.
  • Compiling various reports on subcontractor spends, engineer workloads, mileage sheets, invoicing and PPM and reactive jobs received during the month.
  • Monitoring the helpdesk, answering telephone calls and emails in a professional and timely manner.
  • General administrative duties, such as filing, ordering stationery and uniforms.

This Administrator position is offered on a full-time permanent basis with working hours of 40 per week, Monday to Friday 8am to 5pm.

The ideal candidate will demonstrate previous experience of working within a contact centre and/or administration role for a responsive repairs/maintenance company. It would be an advantage for this experience to have been gained within a company providing repairs to the NHS; however, candidates with repairs experience gained in other sectors will also be considered. Above all, you will have excellent customer service skills (including good telephone and written communication skills), a can-do attitude, and excellent knowledge of Microsoft packages such as Outlook, Word and Excel.
