We are seeking an experienced Facilities Services Coordinator to join a leading professional services firm on a temporary contract running until the end of the year. This is a fantastic opportunity for an individual with solid facilities experience (ideally within professional services) to play a key role in ensuring the smooth, day to day operation of a busy London office.

Key Responsibilities

  • Act as the first point of contact for visitors, staff, and vendors, ensuring a professional and welcoming environment.
  • Manage daily office operations including mail, supplies, equipment, and vendor relationships.
  • Coordinates facilities requests such as maintenance, repairs, space planning, and supports meetings/events with scheduling, catering, and setup.
  • Maintains common areas and ensures health, safety, and security protocols are followed, including building access and emergency procedures.
  • Works with IT to ensure AV equipment and workstations function properly and partners with building management on operational matters.
  • Handles facilities budgeting tasks, including processing invoices, and oversees seating plans, desk moves, and onsite vendors/contractors.
  • Supports onboarding/offboarding, maintains accurate facilities documentation.
