Working Hours: Normal office hours are 09:30 to 17:30, Monday – Thursday, 09:30 to 17:00 Friday

Job Summary: Based out of our UK Headquarters in Milton Keynes, we are seeking a candidate who is highly organised and who demonstrates exceptional attention to detail to assist with the flow of goods for our valued clients. The daily responsibilities of this role include, but are not limited to, coordinating transportation, booking domestic & international courier shipments, creating customs facing shipping paperwork, picking and packing goods and working with our preferred freight vendors to negotiate the best value quotes for all import/export shipments required globally.

The ideal candidate will have experience using computer software such as Microsoft Excel, Outlook, and Word, as well as working with project management tools & financial systems. Additionally, they should have a solid understanding of the picking and packing process, along with good knowledge of warehouse safety. This opportunity is ideal for a professionally communicative individual who thrives in a fast-paced team environment, excels at meeting tight deadlines, and demonstrates the tenacity and confidence to work independently when needed. The candidate will be fully capable of managing their workload efficiently, and will thrive when working with their fellow colleagues on delivering projects all around the world, on time and under budget.

KEY TASKS

  • Assisting the Sr Manager, Logistics with coordinating domestic & international transport for projects & events
  • Booking all domestic & international courier shipments; Provide status updates on shipments in transit and expected delivery timelines.
  • Act as a liaison and administrative support between departments in all RWS Global entities, as well as clients, vendors, and carriers
  • Creating customs facing shipping paperwork known as Commercial invoices & delivery notes for all RWS Global entities
  • Requesting & negotiating quotes from our preferred freight vendors for review by the Sr. Manager, Logistics
  • Working closely with our RWS Global warehouse & third party warehouse partner on a daily basis
  • Creating Purchase Orders in our finance system (NetSuite)
  • Using our Project management system (Wrike) for all project related internal communications & operations
  • Assisting the Sr Manager, Logistics with daily administrative operations
  • Assisting the Manager, Warehouse with the picking and packing operation for dispatch of goods
  • Assisting the Manager, Warehouse with event kit returns & daily warehousing duties
  • Receiving and storing goods deliveries
  • RWS Global Stock Management

Qualifications & Skills:

  • Excellent professional verbal & written communication skills
  • Positive & polite telephone manner
  • Microsoft programmes such as Excel, Outlook, Teams, Word
  • Highly organised & exceptional attention to detail
  • Reliable
  • Ability to work effectively as an individual and as part of the team
  • The ability to work under pressure and prioritise the workload

Experience:

  • Basic understanding of Audio Visual product’s desirable
  • General understanding of Imports & Exports for the UK, USA & China
  • Knowledge in systems such as Wrike & NetSuite desired but not essential as training will be provided
  • Work experience in a similar role desirable but not essential as training will be provided
  • Driving license & own transport - Essential
