The Coordinator, Production Operations role is responsible for the administrative duties of the Land Production department, UK, supporting Project Managers and Directors across all land-based projects. The role may involve overseeing and/or Project Managing some land-based contracts. The Coordinator will also facilitate the seamless execution of client orders, from procurement to delivery, working closely with divisions including Procurement, Wardrobe, Props, Music & Media, Creative, and Project Managers.
KEY TASKS
- Contracting & Payout Sheets
- Invoicing, tracking payments, bill backs, and updating finance
- Payroll management for talent
- Forecast Tracking
- Timeline creation & Deadlines – Weekly schedule distribution
- Attendance at production meetings
- Wrike Organisation and Setup
- Management & Inventory of Asset Storage
- First Round Screening & Interviews
- Assist with Shipping – Point of contact for vendors and procurement
- Receiving, storage, and distribution management
- Prop sourcing and pricing
- Credit Card Expense Requests & Reconciliation
- Project Management as needed
- Supporting travel and procurement requests
- Budget preparation and accountability
- Daily operations support
- Land Production team calendar management
- Meeting scheduling
- Tracking Injury Reports, Daily Operation Reports, and PIPs
- Follow-up on install reports and post-production meetings
