To provide proactive, accurate and efficient completions and post-completions support to the Residential Property, and Residential Development and New Homes team across the Bath and Bristol offices, as part of the South West Completions Team. The role is integral to ensuring transactions complete smoothly, registrations are progressed promptly, deadlines and priority periods are met, and clients, developers, lenders, fee earners and external parties receive an excellent level of service throughout the completion and post-completion process.
Key Responsibilities
- Completion Duties
- Prepare completion packs, completion statements and supporting documentation.
- Liaise with fee earners to ensure residential property, residential development and agricultural matters are ready for completion.
- Coordinate completion monies and communicate with lenders, developers, solicitors and other third parties.
- Process completion funds and completion payments in accordance with firm procedures.
- Confirm legal completion and update the firm’s case management system.
- Assist with the completion of plot sales and developer transactions, ensuring contractual completion deadlines are met.
- Resolve completion-day enquiries promptly and professionally.
- Ensure all completion documentation is accurately recorded and filed.
- Post Completion Duties
- Prepare and lodge HM Land Registry applications, including AP1 and other relevant applications, and assist with related Companies House requirements where applicable.
- Deal promptly with HM Land Registry requisitions.
- Monitor registration progress and maintain post-completion diaries to ensure priority periods and deadlines are met.
- Notify lenders following registration and provide completed registration documentation where required.
- Prepare and serve notices on landlords, management companies and estate management companies where applicable.
- Assist with registrations relating to new-build plot sales, transfers of part and estate documentation.
- Assist with bulk Land Registry applications and registrations where required for portfolio work.
- Manage mortgage discharges, redemption documentation and retention matters.
- Assist fee earners with financial hygiene and file management.
- Close and archive completed files in accordance with firm procedures.
- General Responsibilities
- Provide administrative support to the South West Completions Team.
- Support the Residential Property, Residential Development and New Homes teams across the Bath and Bristol offices.
- Maintain accurate records using the firm’s case management system.
- Ensure compliance with HM Land Registry requirements, lender instructions, regulatory obligations and firm policies.
- Build effective working relationships with colleagues, developers, clients, lenders and external organisations.
- Assist with the continuous improvement of completion and post-completion processes.
- Deliver a professional, efficient and client-focused service at all times.
- Financial & Operational Excellence
- Make effective use of the firm’s IT systems and case management processes, working efficiently and streamlining completion and post-completion processes where possible.
- Assist with accurate financial administration, including completion monies, redemption documentation, retention matters and file financial hygiene, in accordance with firm procedures and the Solicitors Accounts Rules where relevant.
- Input into procedural changes, making suggestions for improvement and efficiencies.
- Take ownership of small completion or post-completion projects where appropriate.
