This is a pivotal role responsible for the effective management of all Workplace and Office operations, ensuring the workspace is safe, compliant and maintained to the highest standards. You will take ownership of Health & Safety, ensuring all practices, policies and procedures meet the appropriate British standards and regulatory requirements. You will manage and maintain all facilities-related contracts, ensuring they are fit for purpose, cost effective and aligned with best practice. In addition, you will lead and support a variety of office-related projects, contributing to continuous improvement while supporting the company’s environmental and sustainability goals. Alongside this, you will oversee the day-to-day running of the office and provide line management to the Office Co-ordinator.
What you’ll be doing:
- Maintain a safe, secure and compliant working environment, ensuring all Health & Safety requirements, risk assessments and actions are completed and prioritised.
- Source, negotiate and manage facilities, utilities and office service contracts in line with business guidelines and environmental goals.
- Oversee the day-to-day running and maintenance of the office, including repairs, checks and improvements.
- Act as the first point of contact for all facilities and office-related enquiries, working with internal teams, contractors and building management.
- Partner with IT to ensure the office supports business needs and the hybrid working model.
- Support office events, meetings and staff socials.
- Ensure a comfortable working environment for all staff, including DSE support and specialist equipment needs.
- Manage day-to-day Health & Safety operations, including fire marshal and first aider requirements and training.
- Proactively lead office refurbishment projects, securing budget approval and coordinating office layouts and arrangements to ensure minimal disruption and continuous office use.
- Manage compliance with lease requirements and future workspace needs.
- Provide regular updates and reporting to key stakeholders and Directors.
- Line manage, coach and support development of the Office Co-Ordinator.
What we’re looking for:
- Proven experience in a Health & Safety role within an office-based environment, with a strong understanding of compliance and best practice.
- Experience managing and supporting a hybrid working environment.
- Highly developed interpersonal skills, with the ability to build strong relationships and influence stakeholders at all levels.
- An observant, proactive self-starter who can respond quickly to issues and develop practical, effective solutions.
- Strong organisational skills with excellent attention to detail, and the ability to plan, prioritise and manage multiple demands.
- A solutions focused mindset with a calm, positive approach to problem solving, even in challenging situations.
- A collaborative team player who works well across the business.
- High levels of discretion and confidentiality.
- Experience managing complex facilities related issues.
