We are currently recruiting for an Office Administrator to join our Team at our Bangor Branch. The successful applicant will support our Training Division with administrative and secretarial duties. They will be our Front of House and therefore will require a high level of customer service and professionalism, as well as impeccable administrative and IT skills.
Duties of the role will include:
- Answering the main switchboard and assisting telephone enquiries both locally and across the Rutledge network (NI)
- Dealing with incoming email and communications
- Front of House; greeting visitors, clients, and students to the Branch
- Coordinating office activities and diary management within the branch
- General office administration; providing direct administrative support to the Business Manager
- Updating internal operating systems accurately; as well as paper-based filing systems
- Assisting with weekly Trainee Paperwork; ensuring that accurate information is passed to the correct internal departments, within required timeframes
- Assisting with trainee enquiries; ensuring that a professional service is maintained
- Completing AccessNI applications online; and maintaining Access NI tracker
- Reporting on student attendance issues to the Business Manager
- Working with the wider training and recruitment teams on promotional and networking events (trainee recruitment events, leaflet dropping etc.)
- Controlling and distributing Petty Cash via maintaining accurate records and submitting monthly returns to Head Office
- Controlling stationery stock levels and ordering materials as and when required, within allocated time limits and budget
Essential Criteria:
- GCSE/Level 2 Maths and English
- 1 year experience in an administrative role
- Strong IT skills
- Excellent communication skills
- Excellent organisation skills
- Full Driving License and Access to Transport
