Hours: 8.30am to 5pm (with 1hr unpaid for lunch)

About the role: Ruth Miskin Training provides training to schools in the UK and internationally on Read Write Inc. Phonics and other literacy programmes. We are passionate about teaching every child to read and keeping them reading. This is a great opportunity for someone who enjoys combining customer interaction with administrative and finance-related work. This role sits within the accounts department but has a strong customer-facing focus, supporting clients with account-related queries and ensuring a smooth and professional service experience.

Main responsibilities:

  • Customer support
    • Provide support to clients promptly and professionally (via email and phone)
    • Investigate queries/information thoroughly (using Xero and other relevant systems)
    • Use and comply with the company’s ticketing systems (e.g. Freshdesk)
    • Keep up to date with any changes to systems
    • Flag issues to the Finance Manager promptly
  • Invoice and quote processing
    • Review automated invoices and quotes
    • Ensure accuracy and completeness prior to issuing
    • Fix errors after issuing, if necessary
  • Account reconciliation
    • Assist in the reconciliation of accounts
    • Help maintain accurate financial records
    • Contact clients promptly regarding credits or overpayments, ensuring accuracy prior to making contact
    • Resolve any discrepancies in a timely manner – liaising with the team for support where required
    • Understand the company’s payment terms in full
    • Ensure invoices are paid on time (as per company terms)
  • Company bills
    • Assist the team with processing bills and receipts promptly
  • Accounting process
    • Demonstrate a full understanding of the company’s accounting systems
    • Keep up to date with any changes
    • Protect and manage confidential information with care – ensuring GDPR compliance
    • Flag any issues identified to the Finance Manager
  • General administrative tasks
    • Complete general administration tasks, as requested by the Finance Manager
    • Follow the team’s process and systems in place
    • Update documentation as required
    • Complete assigned, scheduled tasks to specified deadlines

Essential Skills & Experience:

  • At least 1 years' experience in a customer service, customer support, or administrative role.
  • Strong communication and relationship-building skills, with the ability to resolve enquiries accurately and efficiently.
  • Excellent telephone and email manner with all customers, giving friendly, helpful advice and service.
  • High level of accuracy and attention to detail, particularly when handling customer and financial data.
  • Good organisational skills, with the ability to prioritise workloads and manage multiple tasks in a fast-paced environment.
  • Proficiency in Microsoft Office, including Excel.
  • Ability to follow established processes, investigate issues, and resolve discrepancies using sound judgement.
  • Able to work independently, use initiative, and contribute positively within a team.

Desirable:

  • Experience using accounting software or booking platforms (e.g. Xero and Stripe)
  • Experience of an admin customer support role in a finance department
  • Knowledge of the UK education system
  • Experience using a ticketing system for handling high numbers of emails (e.g. FreshDesk)
