Executive Assistant

12 months contract (Mat cover)

Location: London (SW1V)

Working Pattern: Hybrid – 4 days onsite, 1 day work from home

Pay Rate: £36.06 per hour PAYE + 33 days holiday pay (pro rata)

🌍 About the Role

We are seeking a highly organised and proactive Executive Assistant to support a senior Managing Director and a globally distributed team within a fast-paced financial services environment.

This is a 12-month maternity cover contract, offering a fantastic opportunity to work closely with senior leadership and international stakeholders across the EMEA region.

💼 Key Responsibilities

  • Provide high-level executive support to a Managing Director and wider team (33 people in different time zones)
  • Manage complex and ever-changing calendars across multiple time zones
  • Coordinate global meetings, calls, and stakeholder engagement
  • Arrange international travel, including flights, accommodation, visas, and itineraries
  • Process expenses, invoices, and reimbursements in line with company policies
  • Act as a key liaison with senior stakeholders and administrative teams globally
  • Support planning and delivery of internal and external events
  • Maintain trackers and support reporting using Excel
  • Ensure smooth day-to-day office operations, including meeting logistics and visitor coordination

🧠 Skills & Experience

  • Proven experience supporting senior executives (MD / Director level)
  • Background in financial services, investment, or corporate environments
  • Strong experience managing multiple calendars across time zones
  • Confident coordinating across global teams and stakeholders
  • Advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint)
  • Experience using SAP Concur (preferred)
  • Familiarity with Workday is advantageous
  • Strong organisational skills with excellent attention to detail
  • Ability to prioritise and work independently in a fast-paced environment
  • Professional communication skills and a collaborative approach
