Department: Children Law Kingston
We are seeking an Administrative Assistant to join our Children team in our Kingston office. This role requires working 5 days a week from 9.30am-5.30pm. You will report to the team’s Executive Assistant and will assist the department with general administrative support.
Technical Skills and Expertise
- Excellent attention to detail.
- An enthusiastic and driven person who is prepared to really contribute their efforts to, and will work well within, a close team.
- Someone wishing to develop their skills and experience.
- Good literacy and numeracy standards, IT literate, proficiency in Excel is essential.
- A person who may have a particular higher level skill such as accounting or IT would be desirable.
The Role
Duties include but are not limited to:
- Document Production
- Answering new client calls.
- Arranging appointments.
- Updating court diary.
- Copy, scan, print and finish documents.
- Produce accurate typed documents in accordance with the Firm’s style and standards from a variety of sources.
- Produce routine reports.
- Assemble and/or check electronic or printed documents including accurate proofreading.
- Have a good standard of written English and solid numeracy.
- Record Keeping
- To ensure that files (electronic) are efficiently, accurately and regularly maintained.
- Proficiency in the use of the Firm’s File Management software (and any subsequent document management system that may be introduced – training will be provided) to file and maintain all emails in appropriate client directories.
- Follow the Firm’s file maintenance procedures and file review procedures.
- To be able to accurately and quickly enter electronic data.
- File Opening and Closing
- Follow the Firm’s physical and electronic file opening and archiving procedures, including the use of temporary storage of files.
- Financial Support
- Assist fee earners with the completion of basic documentation, such as bill payments, electronic payment requests, receipts and transfers and expenses reclaims using our online system.
- Carry out client billing processes under supervision of the Executive Assistant and producing matter time enquiries using Excel.
- Internal Administration
- To support the fee earners through the efficient operation of all the Firm’s administrative procedures and policies.
- To assist in booking fee earners on conferences and courses.
- To implement all relevant policies and procedures, including booking couriers/taxis, booking events and for external/bulk copying/printing.
- To provide bundling support using PDF documents.
- Professional Standards
- To work and behave in a professional manner and to a high ethical standard.
- Comply with procedures set out in the firm’s Office Manual.
- To carry out duties given by the partners or employees faithfully and diligently and follow all reasonable instructions.
- Treat all information about the Firm and its clients and their business as wholly confidential.
