Our flagship product, is revolutionising regulatory compliance for the sectors that we have targeted.
As Assistant Finance Manager, you will play an essential role in owning day-to-day finance operations and supporting a growing business with accurate, timely reporting. You will manage payroll, ledgers, cash forecasting, monthly accounts, and key filings while working closely with the senior team and the external accountants. This role is ideal for a hands-on bookkeeper who’s comfortable being the main onsite finance resource and enjoys improving processes in a scaling company.
Responsibilities
- Payroll & Statutory Returns
- Prepare the monthly payroll and ensure all payments are made correctly.
- Complete submissions and payments to HMRC and the NEST pension scheme (with accountants available for technical queries).
- Monthly Close & Management Reporting
- Produce monthly accounts pack in week 2–3, including P&L, balance sheet, aged debtors and creditors, transactions and trial balance.
- Provide a concise commentary of significant issues and movements.
- Cash Management & Forecasting
- Maintain the 13‑week cash forecasts (weekly).
- Report every Monday on reconciled cashflows.
- Sales Ledger (AR) & Customer Onboarding
- Reconcile customer invoicing (raised by sales/admin) to the sales team’s HubSpot quote management system.
- Manage modest but sometimes complex invoices and credit notes.
- Perform finance checks for new‑customer vetting and onboarding; use and manage supplier/customer portals where required.
- Purchase Ledger (AP) & Payments
- Process supplier invoices received via email, team members, or post.
- Schedule payments in line with agreed terms and cashflow forecasts.
- Systems & Tools
- Use Xero, Excel and Outlook daily.
- Collaborate on integrations between these systems and HubSpot to ensure accurate data transfer.
- Online Portals & Banking
- Operate HMRC Government Gateway (PAYE/NI, Corporation Tax, VAT).
- Manage NEST pension processes.
- Use HSBC online banking for day‑to‑day operations.
- Ways of Working
- Work within the senior team, communicate issues clearly, and flag risks early.
- Balance office and home working (minimum two days in the office; role is 37.5 hours per week).
Requirements and Skills
- Attention to Detail: High accuracy across payroll, ledgers, reconciliations, and filings.
- Organizational Skills: Ability to meet reporting deadlines and manage weekly cash forecasting.
- Communication: Clear, direct updates to colleagues and senior team.
- Proficiency with Tools: Confident with Xero, Excel, Outlook, and CRM linkage (HubSpot).
- Problem‑Solving: Practical judgement in a small‑company context; ability to handle complex invoices and portals.
- Customer/Supplier Focus: Professional management of AR/AP, onboarding, and portal workflows.
Qualifications & Experience
- Part‑qualified AAT or qualified by experience – strong small‑company accounting background.
- Experience being the main onsite finance resource, collaborating with external accountants.
KPIs & Success Metrics
- On‑time payroll & filings (HMRC/NEST) every month.
- Month‑end reporting deadlines.
- Cash‑forecast accuracy for weekly and 13‑week horizons.
- AR health: aged debtor reduction, accurate reconciliation to HubSpot.
- AP discipline: On‑time supplier payments per terms and forecast.
- Process reliability: Clean bank reconciliations, minimal errors across ledgers and portals.
