Backed by British innovation and powered by world‑class experts, OMNIA sits at the heart of the UK's Land Industrial Strategy and is delivering the future of collective military training.
The Role
This is more than a job. It is an opportunity to play a key role in one of the UK's most significant defence programmes. As a Programme Coordination Lead, you will provide comprehensive administrative, coordination and PMO support in support of the Army Collective Training Service (ACTS) Programme. You will work closely with programme leadership, project managers, functional leads, industry partners and Authority stakeholders to ensure the efficient operation of the Programme Management Office (PMO).
The role combines senior administrative support, programme coordination, stakeholder engagement, governance support and executive assistance, requiring a highly organised, proactive individual who can manage competing priorities and build effective working relationships across a complex delivery environment. You will work within a matrix organisation, reporting to one of the Programme Managers. Ultimately, you will contribute to delivering a modernised training capability for the British Army.
Who We Are Looking For
We are looking for a highly organised, proactive and professional individual who enjoys bringing structure to a busy environment and supporting teams to succeed. You will be an excellent communicator, capable of building positive relationships with colleagues and stakeholders at all levels. You will have sound judgement, strong problem‑solving skills and a collaborative approach, enabling you to work effectively across multiple organisations united by a common mission. Success in this role will require initiative, attention to detail, adaptability and the ability to manage competing priorities in a fast‑paced programme environment.
Main Duties
- Executive & Programme Support: Provide proactive support to Programme Leadership through the management of complex and frequently changing diaries, stakeholder communications, travel arrangements, expense management and other activities that enable effective programme delivery.
- Correspondence Management: Monitor and manage delegated inboxes, prioritising urgent matters, responding where appropriate, tracking actions and ensuring timely follow‑up across multiple stakeholders.
- Programme Coordination: Support the planning and coordination of programme activities, ensuring actions, deliverables, dependencies and key milestones are tracked and progressed.
- Governance & Meeting Support: Coordinate governance forums, programme reviews, customer meetings and workshops, including agenda preparation, meeting logistics, minute taking, action tracking and follow‑up activities.
- Programme Documentation: Maintain programme documentation, registers and trackers, ensuring information remains accurate, current and compliant with company processes.
- Reporting & Communications: Assist in the production of programme reports, presentations, briefing packs and management information for internal and external stakeholders.
- Stakeholder Management: Act as a key point of contact across Raytheon UK, Omnia Partners and customers, building effective relationships and ensuring communication flows effectively between teams.
