The HR Administrator will manage a wide range of recurring and ad hoc reporting activities, maintain data accuracy across HR systems, support payroll and benefits administration processes, and provide meaningful people data to support operational and business decision-making.
Key Responsibilities:
- Data and Reporting: Being the expert in the production of all scheduled and ad-hoc reports, with a clear understanding of how data is managed and comes out of the HR systems. Producing all headcount and turnover reports as required by the business including Monthly Global Headcount reporting (starters/leavers) for the whole group for the CEO and senior management team. Weekly and monthly Average Headcount reporting for Finance Management Accountants. Monthly Salary reports for Finance Management Accountants. Group Turnover Reporting broken down into brands. Completing monthly reconciliation reports to ensure data in the HR system is up to date with accurate information. Running and distributing compliance training reports to ensure the employees are compliant with the business mandatory training modules. Annual national minimum wage reporting and analysis for the business including UK and Ireland. Annual salary review data reporting for the business for UK and Ireland. Running annual end of year holiday reporting in preparation to support with the new year carry and close process for all holiday schemes on the HR system. Supporting the annual bonus scheme review providing employee data where required by the business and supporting with the issuing of schemes.
- Benefits Data: Managing and maintaining the provision of accurate data for benefit renewal processes and ongoing changes to business needs/participating members (as required by benefits brokers). Working with relevant benefit providers to ensure all employee benefits are correct and up to date and manage membership data reconciliation to track all changes to maintain accuracy on a monthly basis including the larger scale annual benefits window. Ensuring the HR systems and payroll systems are updated with the monthly/annual benefits data maintaining accuracy and consistency in line with payroll deadline timescales. Ensuring the car allowance fleet is compliant with driving licence checking and insurance documentation checking by completing monthly reconciliation audits. Ensuring all payments and administration in regards to our car salary sacrifice scheme is co-ordinated and managed appropriately.
- Invoicing: Review, reconcile and process monthly/annual invoices for payment including benefits and fleet invoices.
- HR Admin and Employee Lifecycle Processing: Act as a first point of contact for HR queries, providing guidance on HR processes and escalating matters where appropriate. Maintain accurate employee records within the HR system, ensuring data is up to date and compliant. Prepare and process employment documentation, including contracts, contractual change letters and employee correspondence. Administer employee lifecycle activities, including onboarding, right to work checks, probation monitoring, maternity/paternity leave, flexible working requests, absence management, references and leaver processes. Liaise with managers, employees and payroll to ensure HR transactions are processed accurately and within required timescales. Support the management of employee absence and other routine HR processes in line with company policies and procedures. Respond to a range of HR administration queries relating to holidays, sickness absence, family leave, HR systems and general employment administration.
- Technology: To act as the point of contact for HR System / Benefit Window queries. Accurate and prompt data management on HR database. Build and produce custom reports on an ad-hoc basis for HR team and internal clients.
Work Experience and Attributes:
- Essential: Previous administrative experience, ideally within HR. Strong numerical and analytical skills. Experience producing reports using Excel. High level of accuracy and attention to detail. Ability to manage multiple deadlines and prioritise workload effectively. Strong organisational and communication skills.
- Desirable: Experience using a HR system. Experience administering employee benefits. Basic understanding of payroll processes. Experience producing HR management information and people metrics.
