The Purchasing Coordinator will support the day-to-day purchasing activities of RSP UK, ensuring parts, equipment and services are procured efficiently to support the operational needs of the business.

Reporting into the Finance team, the role will be responsible for raising purchase orders, managing existing supplier relationships, onboarding new suppliers, monitoring costs and pricing, identifying potential cost savings, resolving supplier queries and ensuring purchasing records are maintained accurately. The role plays a key part in ensuring the business has the right products and services available to support customers whilst maintaining cost control and operational efficiency.

Duties/Responsibilities:

  • Purchasing & Procurement
    • Raise and process purchase orders accurately and efficiently.
    • Source parts, materials, equipment and services from approved suppliers ensuring they are purchased to the optimum value, required quality and delivered on time.
    • Monitor order progress and ensure timely delivery of goods and services.
    • Resolve supplier delivery issues, shortages and discrepancies.
    • Maintain accurate purchasing records within company systems.
    • Support stock replenishment activities where required.
  • Supplier Management
    • Establish and maintain strong working relationships with suppliers.
    • Conduct supplier onboarding, including due diligence and documentation checks.
    • Maintain supplier records and ensure compliance with company procedures.
    • Monitor supplier performance relating to quality, cost and delivery.
    • Plan, hold and report on regular supplier meetings, visiting suppliers when necessary and engage in regular benchmarking exercises across all purchasing commodities.
    • Support supplier reviews and identify opportunities for improvement.
    • Obtain quotations and compare supplier pricing to ensure best value.
    • Carry out regular price reviews and identify cost-saving opportunities.
    • Negotiate pricing and commercial terms where appropriate.
    • Support the Finance team with purchasing reports and expenditure analysis.
  • Stock & Inventory
    • Monitor stock levels and coordinate replenishment activities to ensure the timely availability of parts and materials.
    • Maintain accurate inventory records within company systems and investigate any stock discrepancies or variances.
    • Support periodic stock counts and inventory audits, ensuring stock data is accurate and up to date.
  • Administration & Compliance
    • Ensure purchasing activities comply with internal company policies and procedures.
    • Ensure products purchased and suppliers comply with all legal requirements.
    • Match purchase orders, delivery notes and invoices to support the accounts payable process.
    • Assist with resolving invoice queries and supplier account issues.
    • Support audits and maintain accurate procurement documentation.
    • Contribute to the continuous improvement of purchasing processes and controls.

Qualifications Skills and Attributes Required:

  • Essential
    • Previous experience in a purchasing, supplier management, finance administration or office administration role.
    • Strong organisational and administrative skills.
    • Excellent attention to detail and accuracy.
    • Confident communicator with the ability to build positive supplier relationships.
    • Good commercial awareness and the ability to compare costs and identify value for money.
    • Proficient in Microsoft Office, particularly Excel.
    • Ability to manage multiple priorities and work to deadlines.
    • Driving licence.
  • Desirable
    • Experience working within engineering, construction, plant, machinery, automotive or parts environments.
    • Experience raising and processing purchase orders.
    • Experience onboarding suppliers and maintaining supplier records.
    • Understanding of stock control and inventory management.
    • Experience with Sage.
