Company Secretarial Administrative Assistant

We are seeking an experienced Company Secretarial Administrative Assistant to join our team in Guildford.

Our Consulting division integrates multiple teams across Transactions, Risk & Consulting, ABA, and Outsourcing, delivering client-centric solutions within the middle market. With over 1,700 professionals and nearly £200m revenue, we focus on six key solutions: business transformation, deal services, finance support, risk and governance, forensic and investigation services, and restructuring. These services help our clients achieve strategic goals while empowering our staff to develop their careers.

Overall job purpose

Provide administrative and technical support to the Corporate Secretarial team. No experience is necessary as full training will be provided, with opportunities to develop into a chartered secretary role for suitable candidates.

Responsibilities

  1. Provide administrative support, including fee note preparation, Companies House filings, and ensuring compliance with the Companies Act 2006.
  2. Assist with client onboarding procedures, record opportunities, gather information, and prepare engagement letters.
  3. Manage client and departmental post.
  4. Maintain the team’s filing system, organize documentation, and label files.
  5. Clear historic files related to dissolved, transferred, or liquidated client companies, including preparing disengagement letters and collating statutory records.
  6. Undertake basic Company Secretarial tasks under supervision, such as preparing minutes, resolutions, forms, and submitting documents to Companies House and HMRC.
  7. Maintain clients’ statutory registers on Diligent Entities.
  8. Ensure tasks are completed accurately and on time.
  9. Communicate issues promptly to senior staff and seek feedback.
  10. Record daily work hours and ensure proper billing.
  11. Develop technical knowledge through reading and courses.
  12. Adhere to RSM policies and procedures.
  13. Perform other ad hoc tasks as required.

Personal and professional qualities

The role requires:

  1. At least A Level education or equivalent, with Grade B GCSE in English and Maths.
  2. Strong communication skills, both oral and written.
  3. Proficiency in Microsoft Word, PowerPoint, and Excel.
  4. Ability to work independently and as part of a team.
  5. Good organizational and time-management skills.
  6. Ability to work under pressure, with flexibility and adaptability.
  7. An interest in Company Law, Secretarial Practice, or Anti-Money Laundering legislation is preferred.
