We are seeking an experienced Bid Coordinator to join our established Bid Team in our Dublin office. In this role, you will play a vital part in managing and producing high-quality, timely proposals for both domestic and international markets. The role may also include a range of marketing and general administrative duties. The Bid Coordinator will report to the Bid Manager.
Key Duties and Responsibilities- Assist in managing the entire tender process, from initial concept through to post-tender interviews and clarifications.
- Support the preparation, compilation, and submission of pre-qualification questionnaires (PQQs), Expressions of Interest (EOIs), and Invitations to Tender (ITTs) for both domestic and international markets.
- Coordinate with internal teams and stakeholders to ensure clarity on tender deliverables, deadlines, and expectations; attend tender review meetings as required.
- Work closely with the Bid Manager to maintain and update the Document Management System, Bid Libraries, and key performance indicator (KPI) information.
- Support sales, marketing, and administrative tasks, including the preparation of presentations, marketing materials, and electronic tender files.
- Undertake additional responsibilities as required, in line with the evolving needs of the role and the business.
- Proven experience in a Bid, Tender Coordinator, or Administrator role.
- Strong ability to multi-task and meet tight deadlines in a fast-paced environment.
- Excellent verbal and written communication skills, with a professional approach to interacting with stakeholders.
- Highly self-motivated, detail-oriented, and proactive.
- Ability to work independently and collaboratively within a team.
- Exceptional planning and organizational skills, with a high level of accuracy.
- Proficiency in IT tools, including Word, Excel, PowerPoint and SharePoint.
- Experience of using InDesign, Adobe Creative Suite, or Canva is an advantage.
