This is a great opportunity for an exceptionally organised, detail-oriented and proactive Operations and Executive Assistant to join a growing boutique law firm, working closely with the Managing Partner. This is a particularly important role within the Firm, and the successful candidate will become a central point of coordination across the Firm's operations while also providing high-quality executive and personal support to the Managing Partner.
Responsibilities
- Providing direct executive and personal support to the Managing Partner, including inbox, diary and calendar management, appointments, travel and day-to-day priorities.
- Managing filing, document management and general administrative systems.
- Handling firm communications, meetings, follow-ups and ongoing tasks.
- Assisting the accountants with bookkeeping, budgeting, invoices and general financial administration.
- Supporting the day-to-day operations of the office, including suppliers, facilities, equipment and systems.
- Providing human resources administration and supporting team development.
- Supporting marketing, social media, website updates and Firm events.
- Acting as a professional liaison with clients, advisers and other external contacts.
- Monitoring outstanding matters and ensuring tasks and deadlines are followed through.
- Supporting ad hoc projects and taking ownership of operational matters as appropriate.
- Working closely with the Managing Partner and the existing operations function to learn the Firm and progressively assume greater responsibility.
- Maintaining the highest standards of discretion, confidentiality, organisation and professionalism.
Key Skills
- 1-3 years+ in an administrative, PA, legal support and/or office operations role.
- An administrative, legal, finance or other business-focused degree is preferred.
- Confident managing multiple priorities and working in a fast-paced environment.
- Highly organised, detail-oriented, proactive and commercially minded, with strong attention to detail and follow-through.
- Discreet, trustworthy and professional, with sound judgement when handling confidential and sensitive matters.
- Comfortable working closely with senior leadership and anticipating needs rather than simply responding to instructions.
- Technically confident, with strong IT and Microsoft Office skills and the ability to learn and manage new systems and software effectively.
- Familiarity with bookkeeping and professional services administration is preferred.
- Strong communication and interpersonal skills, with a polished and professional manner.
- Practical, with the ability to take ownership and manage a broad range of responsibilities.
- A genuine willingness to learn, develop and take on increasing responsibility as the Firm grows.
- Fluent English, right to work in the UK with sound UK work experience.
- Russian-speaking would be an advantage.
