Role Summary

The Audit Operations Coordinator plays a critical role in ensuring the efficient delivery of RRx Co's global audit and consultancy programmes.

The role is responsible for maintaining the audit schedule, coordinating external auditors and contractors, supporting client communications, tracking audit activities, and ensuring audit reports, agendas, and associated documentation progress through the appropriate review and approval workflows.

Working closely with the Head of Audit, Chief Technical Officer (CTO), auditors, contractors, clients, and service providers, the successful candidate will act as the operational hub of the audit function, ensuring projects remain organised, compliant, and delivered to a high standard.

The successful candidate will be embedded within our operations team, supporting all areas of the business, reporting directly to our Chief Technical Officer.

  • What you will be doing
  • Maintain and manage the company audit schedule and audit resource calendar.
  • Coordinate audit assignments and auditor availability across multiple projects and clients.
  • Arrange audit logistics, meetings, agendas, and associated documentation.
  • Support the delivery of on‑site, remote, and hybrid audit programmes.
  • Monitor audit timelines and proactively identify potential scheduling conflicts or delays.
  • Audit Report & Quality Oversight
  • Track audit reports through drafting, peer review, approval, and final issuance.
  • Monitor audit peer review workflows and ensure required approvals are obtained.
  • Maintain audit status trackers and reporting dashboards.
  • Support consistency and quality across audit deliverables.
  • Coordinate corrective actions and follow‑up activities where required.
  • Contractor & Service Provider Management
  • Act as the primary administrative contact for external auditors and contractors.
  • Coordinate contractor onboarding, documentation, training records, and qualifications.
  • Maintain contractor databases, CVs, and competency records.
  • Liaise with service providers and subcontractors to ensure timely support of client activities.
  • Support contractor utilisation and resource planning activities.
  • Client & Project Support
  • Provide administrative support across audit and consultancy projects.
  • Coordinate client communications relating to scheduling, documentation, and audit preparation.
  • Review and approve supporting client documentation in accordance with established processes.
  • Track project milestones and ongoing activities.
  • Support delivery teams with project administration and resource coordination.
  • Documentation & Compliance Support
  • Maintain audit records, trackers, and associated quality documentation.
  • Ensure documentation is appropriately filed and controlled.
  • Support quality management system activities and continuous improvement initiatives.
  • Assist with supplier qualification, service provider oversight, and associated QA activities.
  • Support preparation for client audits, regulatory inspections, and internal quality reviews.
  • Operational Support
  • Produce audit metrics, utilisation reports, and management information.
  • Support process improvement initiatives across the audit and quality functions.
  • Assist the Head of Audit and CTO with operational planning, resource forecasting, and business support activities.
  • Undertake additional administrative and coordination activities as required to support business operations.

Who you are

  • Previous experience in an administrative, operations, project coordination, or audit support role, ideally within a GMP/Good Manufacturing Practice environment
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong attention to detail and commitment to quality.
  • Proficiency in Microsoft 365 applications including Outlook, Word, Excel, Power Point, Teams, and Share Point.
  • Experience coordinating activities across multiple stakeholders in a remote environment.
  • Highly organised and process‑driven.
  • Strong communicator and relationship builder.
  • Able to work independently in a fully remote environment.
  • Proactive and solution‑oriented.
  • Professional and client‑focused.
  • Comfortable working with senior stakeholders and external consultants.
  • Strong administrative and coordination capability with an eye for detail.
  • Experience within life sciences, pharmaceutical, biotechnology, medical device, healthcare, or quality assurance environments. (GMP/Good Manufacturing Practice)
  • Knowledge of regulated environments, audits, quality systems, or compliance programmes.
  • Experience supporting contractors, suppliers, or service providers.
