Role Overview

The team

The People Operations Team encompasses HR Operations (HR systems, data, people policies and processes) and Reward (compensation, benefits, and wellbeing). The team sit within the broader People & Talent Development department (Resourcing, Advisory, Early Talent and Learning & Development) and work closely with People Advisory Teams and the Partner Talent Team.

The People Services team are the first point of contact for all people related queries from the business. Case escalation is to the People Services Coordinator, People Executives, People Operations Manager, or specialist team within the P&TD department.

The role

Reporting to the People Operations Manager, and working closely with the People Services Coordinator, you will be part of a small team responsible for delivering first-class people experience. You will provide proactive and efficient administrative support across all aspects of the employee lifecycle.

Responsibilities Will Include

  • Proactively respond to queries into the shared mailbox e.g., employment, benefits, policies, processes, and systems, ensuring that correct and timely advice is provided and escalate complex queries when necessary.
  • Administer the starter, mover, leaver processes to include, but not limited to:
  • Onboard new starters: prepare new joiner documentation, initiate and track the status of background screening and right to work checks and send welcome emails.
  • Set up and maintain employee files including saving and filing documents to agreed standards so they are accessible and comply with data protection and GDPR.
  • Support with the smooth running of induction activities e.g., room bookings and preparing materials.
  • Track probation end dates, send reminders and prepare letters.
  • Family leave: arrange meetings, complete documentation, make parental transition coaching referrals and order new baby gifts.
  • Arrange long service awards and staff gifts.
  • Prepare correspondence, i.e., secondments, visas, promotions, absence, new employment, mortgage, tenancy, and visa letters.
  • Prepare data and collate documentation for payroll in line with deadlines, ensuring high levels of accuracy.
  • Offboarding leavers: schedule exit interviews, prepare leaver letters, arrange employee update emails, and action system changes.
  • Update the HRIS accurately with all people changes e.g., changes to job title, salaries, reporting lines or departmental changes and complete regular people data audits.
  • Produce reports of people activities and basic bespoke reports to client groups using the HRIS and Pirical on Demand.
  • Initiate and track the status of cyclical background screening i.e., for partners and directors.
  • Cost code invoices and send to finance for payment.

  • Excellent communication (both written and verbal) and stakeholder management skills
