Overview
This Coordinator role is in Gynaecology and Obstetrics, working mainly in the Colposcopy service. This is an exciting and varied role, working alongside the clinical team, secretarial colleagues and the Cancer Patient Pathway Manager. You will provide a comprehensive administration service to a multi-disciplinary team (MDT) in their allocated service. Working in association with the clerical teams you\’ll provide a central point of communication for patients, staff and external organisations.
Responsibilities
- Provide a comprehensive administrative service and support the operational activity across Gynaecology and Obstetrics.
- Coordinate and oversee administrative and secretarial processes in support of effective and efficient functions of the clinical team.
- Act as a contact point and liaise with clinicians, patients, medical and nursing staff and external agencies.
- Deal with telephone enquiries promptly, efficiently and sensitively, relaying messages where necessary and ensuring that any action is undertaken without delay.
- Produce letters under the direction of the medical staff to the GP and patients informing of the outcome of test results, ensuring these are distributed within defined timescales. Undertake any action required, e.g. making further appointments.
- Upload referrals and book appointments within appropriate target time frames.
- Ensure patients discharged from colposcopy clinic are recorded appropriately.
- Submit a Colposcopy Discharge List to CSAS weekly.
- Maintain and monitor outpatient lists to ensure patients comply with waiting targets in accordance with national guidelines and Trust patient access policy.
- Attend relevant internal/external meetings.
- Assist in preparation of the quarterly and annual KC65 returns.
- Contribute to the review of administrative and clerical functions within the department and make recommendations to enhance service provision for all uses of the department.
