About the Role

The Operational Performance Support will provide administrative support to an Operations Performance Leader (OPL) within the Delivery Operation. Responsibilities include scheduling and planning performance reviews and COM coaching sessions, producing reports to support the coaching process, and handling all tasks related to managerial absence, OT & TOIL, and scheduling of managerial annual leave and day‑off cover. You will also align managerial resources to units and support the OPL’s team.

Key Responsibilities

  • Manage the HR system (PSP) inputs, including absences, substitution payments, TOIL authorisation, and submission of loaned-to‑admin files for the OPL area.
  • Maintain diary control of the Operations Performance Leader, ensuring coaching and performance reviews with all Customer Operations Managers are scheduled for each period.
  • Assist with preparations for coaching and performance reviews, including slide packs, room bookings, invites, and on‑day management.
  • Authorize travel requests & T&S, take notes for Conduct/Grievance/Attendance cases, and support managerial sick‑absence management.
  • Complete the nationally designed Managerial Resourcing Tool (MRT) for resourcing: draft initial manpower plan at least four weeks in advance, liaise with the OPL to sign off the plan, comply with managerial cover resourcing rules, send weekly manpower plans by the end of Wednesday previous to the plan week, and use only approved COSMs, trainees, and named trained unit resources.
  • Oversee managerial annual leave allocation, ensuring only one person per group is off at any time (with emergency exceptions) and administer the leave-booking process each year per guidelines.
  • Coordinate cost‑effective purchasing and equipment orders for the OPL.

About You

  • Must possess good analytical and problem‑solving skills, proficiency in Microsoft Excel and PowerPoint, and demonstrate confidentiality, integrity, and discretion when handling personal information.
  • Flexibility and willingness to travel within the OPL area, as well as exceptional organisational and time‑management skills, are required.
  • Build relationships across operations and business functions to support the Area Leadership team, particularly the Operations Managers.
  • Customer focus – support a customer‑centric culture from an administrative perspective.
  • Know the business – use an understanding of basic business operations and Royal Mail Group systems, processes, departments, and functions to support the OPL in achieving business objectives.
  • Financial and physical asset management – manage physical assets and assigned budgets, estimate and justify costs, control expenditure, and evaluate outcomes.
  • Health, safety & wellbeing – lead by example to protect the safety, health, and wellbeing of yourself and others, and ensure compliance with safety and health legislation and Royal Mail Group standards.
  • People management essentials – follow Royal Mail Group processes, understand policies, and assist and support managers from an administrative perspective.
