Hours: 37 hours per week, working 7 consecutive days followed by 7 consecutive rest days, earliest start 06:15am - latest finish 18:00. Please note, there is scheduled overtime of 4 hours each week attached to the duty.

Royal Mail is now recruiting for Network Distribution System Administrators. If you can work well under pressureand are friendly and professional, you are the type of person we're looking for.

About the role

In order for Royal Mail to run a safe, efficient and cost effective fleet, the Network Distribution System Administrator would be expected to carry out the following tasks:

  • Assisting to ensure safe and legal operations, including maintaining and monitoring all aspects of the fleet operators licence in line with business policy.
  • Ensuring compliance to Road Transport Directive legislation and EU hours regulations by optimisation of data in the open options and CDU software packages - Vehicle data downloads are kept within the 14-day threshold, driver infringements are resolved in a timely manner and all information is kept up to date.
  • Supervising drivers and operation of shift ensuring work plan is met.
  • Ownership of staff and agency planning, participating in weekly resourcing meeting to ensure all duties are resourced as efficiently as possible. Liaising with agency where necessary and ensuring robust plans are in place for Special Events and Christmas Peak.
  • Responsible for declaration of other work for drivers.
  • Co-ordinate planned and non-planned maintenance of vehicles, in liaison with Service Centre using the PMT1 procedure and direct contact with hire companies for hired vehicles.
  • Maintain duty record (P318's) ensuring timely upload to Management Data Systems, providing daily shift and other reporting by the Transport Office Manager.
  • Responsible to monitor and act on Isotrak performance and daily driver de-briefs.
  • Responsible for issuing keys to drivers, logbook control and all aspects of legislative compliance and RM fleet audit specification.
  • Recording of weekly finance figures and inputting staff hours onto People System Portal software system.
  • Proactively managing pipeline interfaces on and between shifts.
  • Responsible for ensuring out of service vehicles are isolated and reported through relevant booking system using the PMT1 process and recording all information on Isotrak and Vision.
  • Responsible for input into IMS for ferries and resultant GMR customs declarations and regular contact with Ferry companies regarding trailers and sailings.
  • Fuel control and fuel systems.

Full Training will be provided.

A bit about you

  • Organised, independent and self-motivated
  • Knowledge of safety and legal requirements, including drivers' hours legislation, vehicle checks, Safe Systems of Work, risk assessments and accident investigation
  • Administrative and industry experience with working knowledge of the mails and PFW operation, preferably within a transport office Computer literate with good numeracy and literacy skills and good knowledge of Microsoft Excel and Word
  • Able to input data to set deadlines whilst maintaining confidentiality at all times
  • Ability to deal with customer issues in a timely manner and under pressure

Knowledge of continuous improvement or willingness to learn, data analysis and problem solving-skills
