For Royal Mail to run an efficient operation we are looking for an Administrator to join our Bristol Mail Centre to provide vital administration support to strengthen the unit performance.
SHIFT PATTERN: Monday to Friday 41 hours 09:00 -17:00 with occasional early/late finish
To provide accurate, timely, and effective administrative and analytical support within the Admin Room at Bristol Mail Centre. The role is critical in supporting operational delivery through MDS / RCS input, resourcing, and performance reporting, working closely with the Plant Manager and Operational Leadership (OPL) to ensure service targets are achieved.
Key Accountabilities
- Deliver all Admin Room activities to support daily plant operations across all shifts (days, lates, nights)
- Support mail centre manager, optimised Production Leader and resource manager in various areas of the mail centre as and when required
- Accurately input and maintain data in MDS (Manpower Data System), ensuring all colleagues, overtime, and attendance are correctly recorded
- Produce and analyse operational reports, including resourcing, overtime, and performance data
- Support work plan creation (line charts) and ensure alignment with workload demands
- Maintain accurate records of attendance, absences, overtime, and casual usage
- Identify and elevate data discrepancies (e.g. missing MDS / SISO inputs impacting pay or reporting)
- Prepare clear reports, briefings, and presentations using Excel, Word, and PowerPoint
- Support planning for peak periods, weekends, and seasonal workload (e.g. summer / Christmas plans)
- Liaise with Shift Managers and frontline teams to ensure accurate and timely information flow
- Take meeting notes when required
- Ensure all administrative processes are completed to a high standard and within required timescales
- Cover absence in the admin room
Skills and Experience
- Strong working knowledge of Microsoft Excel, Word, and PowerPoint (Excel essential)
- Highly numerate, with the ability to work confidently with large volumes of data
- Experience of working with systems such as MDS or similar data/input tools
- Strong attention to detail, with a focus on accuracy and data integrity
- Ability to analyse information and support operational decision-making
- Effective communication and stakeholder management skills
- Strong organisational skills with the ability to prioritise competing demands
- Experience in a fast‑paced operational desirable
