ROLE OVERVIEW
The HR and Office Executive will play a pivotal role within the RLSS UK Corporate Services Directorate, working closely with the HR Manager to ensure the HR and Office function runs smoothly and effectively. This varied role will see you support across all areas of administration and day-to-day operations relating to the HR and Office functions.
KEY TASKS AND RESPONSIBILITIES
- Support with the day-to-day operations and running of the HR function.
- Support with all aspects of recruitment, including campaigns, candidate applications, candidate communication, and interviews.
- Support with new starter inductions and onboarding.
- Support with employee leaver process.
- Assist with the collation and storage of HR and employee records in line with GDPR guidelines, RLSS UK policies and procedures, and RLSS UK retention schedules.
- Ensure employee records and details are kept accurate and up to date.
- Ensure HR and employment policies, procedures, and templates are kept up to date, and are stored/accessed as appropriate.
- Support with managing absence, monitoring sickness entitlement.
- Assist managers in the rollout and upholding of all HR policies and procedures.
- Assist with the management and collation of the Society’s PDR, 1-2-1, and objectives setting procedures on an annual basis, providing support to Line Managers where required.
- Administrative support relating to employee benefits.
- Support with managing RLSS UK’s mandatory training schedule for employees, including working with the HR Manager to source new training packages and/or providers, where required.
- Assist in the management and calculations of annual leave entitlements in line with the Society’s holiday year, ensuring employee entitlements are implemented accurately.
- Deal sensitively and confidentially with all employee relation queries or issues.
- Acknowledge and respond, where appropriate, to internal and external queries or requests relating to the HR function.
- Support with internal and external equality, diversity, and inclusion/wellbeing initiatives, including effective continuation of the Society’s accreditations or statuses, such as INclusive Worcestershire Leaders and Disability Confident Employer Scheme.
- Represent the Society at HR and/or equality, diversity, and inclusion/wellbeing seminars, meetings, or workshops.
- Assist with ah-hoc HR projects.
- Arrange Society travel arrangements, such as accommodation, transport (flights, trains etc.), and hire cars.
Office Maintenance
- Organise and source office supplies, including cleaning/Health and Safety products, stationery, and consumables for the coffee machine.
- Support with day-to-day tasks or issues relating to office or building maintenance and safety.
- Where required, assist in the sourcing of relevant Health and Safety Training, such as First Aid and Fire Marshalls.
- Liaise with external organisations or suppliers to ensure office maintenance contracts and services are arranged appropriately and kept up to date, such as air conditioning, fire extinguishers, waste disposal etc.
- Organise required internal bookings, and external hire, of Red Hill House Meeting Rooms.
General
- Contribute to the successful operation of the charity by undertaking such other tasks as may from time to time be required including all other duties reasonably associated with your role, as directed by the Line Manager.
- To keep abreast of any regulatory or best practice changes relating to HR.
- Ensure compliance with UK GDPR and the Data Protection Act 2018 by complying with internal information governance policies and maintaining up-to-date documentation as part of RLSS UK’s compliance programme.
- Demonstrate and uphold the Society’s values and behavioural standards at all times.
- Proactively participate in the Society’s equality, diversity, and inclusion (EDI) initiatives and training, and to promote a culture of respect and inclusion for all staff and customers.
PERSON SPECIFICATION
Essential Relevant Experience, Skills and/or Aptitudes
- Demonstrable experience in an administration and HR role.
- An empathetic communicator that can adapt their style to suit a variety of situations.
- Excellent written and verbal communication skills, with a polite, confident and professional manner.
- Proven ability to handle diverse sources of information in a confidential, sensitive manner with due care, respect and discretion.
- Proven ability to support with HR issues.
- Competent IT skills, including confident use of Microsoft Office (Word, Excel, Outlook).
- Ability to manage multiple tasks and priorities effectively.
- Strong attention to detail.
- A positive ‘can do’ attitude.
- The ability to work as part of a team and individually.
Desirable Relevant Experience, Skills and/or Aptitudes
- Hold or are working towards a relevant HR qualification.
- Demonstrable knowledge, understanding and commitment to promoting equality, diversity and inclusion.
