We are looking to recruit an Accounts Payable Assistant to join our supportive and friendly team. The role reports to the Accounts Payable Team Leader and is responsible for the accurate processing of invoices, resolution of invoice queries and reconciliation of statements to ensure supplier accounts are paid to the agreed terms. This is a fast paced, high-volume department so they need to be efficient with excellent customer service skills to liaise with both internal and external stakeholders, have a good eye for detail and be highly organised.

Responsibilities:

  • To review the outstanding invoices list, identify why the invoice has not been processed and direct the query to the correct person for resolution.
  • To request a PO is raised by the appropriate member of staff for any invoices that do not quote a purchase order number on the day the invoice is sent into the system.
  • To ensure supplier statements are received monthly for all suppliers and to work with the suppliers to resolve any issues that are preventing invoices from being paid.
  • To constantly review Accounts Payable email, ensure all queries are responded to within 48 hours.
  • To chase VAT invoices for any proforma payments made to ensure accounts are kept up to date.
  • To request refunds for any overpayments.
  • Escalate issues to the Team Leader if you are unable to resolve or have issues with internal or external contacts.
