Overview
GDA Apprentice Administrative Assistant – work, earn and learn.
Support the team delivering the Adult Community Learning (ACL) programme in the Royal Borough of Greenwich.
The Skills Team in the Directorate of Place and Growth coordinates ACL, running annually from 1 August to 31 July, with delivery in classrooms at the Eltham centre and other borough locations.
The programme collaborates with eight partner organisations to provide a wide curriculum of courses and workshops that develop skills and support progression into work.
Greenwich Learns (website) showcases opportunities funded by the Greater London Authority (GLA) and Department for Education (Df E).
Approximately 3,500 learners, over 6,000 enrolments and more than 600 courses are typical in the academic year.
We are looking for someone with a keen interest in administrative duties who is eager to learn and is driven and self-motivated to deliver high‑quality work in a dynamic London borough.
Responsibilities
Professional duties
Perform a range of basic administrative tasks allocated by line managers, including tasks related to the formal qualification.
Work with colleagues, take instructions, take notes and meet the basic needs of the team.
- Deal politely with customers, clients and residents; after training, provide an acceptable level of customer service.
- Handle calls to the service/team, log calls, and gather all necessary information from callers; direct queries to the appropriate team member/service.
- Provide basic administrative advice and information to customers by telephone, email or in person.
- Undertake general administrative duties such as filing, photocopying, etc.; use and maintain equipment safely following supervisor instructions.
- Be responsible for equipment on site and ensure it is left safe and returned to the office or classroom at day’s end.
- Team-specific tasks
- Under direct supervision, learn duties related to an Administrative Assistant role and support senior staff with: creating and updating customer records in database systems with accurate information, and providing data and reports; monitoring actions to support service delivery.
- Order and store equipment, stationery and other items as required; support meeting room bookings; photocopying and scanning of documents.
- Receive and sort deliveries, answer queries, handle incoming/outgoing post and telephone enquiries; archive records and retrieve/send files.
- Personal development
- undertake a varied programme of work experience, practical and theoretical training leading to a recognised Business Admin Level 3 apprenticeship qualification.
- Participate in a development plan agreed with the line manager and the assessor; complete the academic element of the apprenticeship (e. g., attendance at college and completion of academic work), with a minimum of 20% of the working week allocated to this.

Requirements / Eligibility
- Must be living in the Royal Borough of Greenwich (or have been in the care of the Royal Borough and currently living outside the borough).
- Open to Children aged 16 to 18 who have been looked after by the Royal Borough of Greenwich for at least 13 weeks (not necessarily contiguous); and to care leavers aged 16 to 24 (to 25th birthday) who were looked after by Greenwich Children’s Services for 13 weeks or more since age 14, including time after 16th birthday.
- To be eligible for funding for the apprenticeship, you must ordinarily have been a UK resident for at least the previous three years and have the right to work in the UK; if you have leave to remain, it must cover the entire duration of the qualification.
- Demonstrate the required Maths and English skills (GCSEs or Functional Skills) or be prepared for screening by the learning provider to verify eligibility.
- In some cases, the learning provider will carry out screening and verification of skills and qualifications to confirm eligibility for the programme.
- Some applicants may need to wait to start if turning 16 late in the year; not already qualified to the same or higher level in the same field; apportioning Maths and English at the required level for the qualification.
