To provide a quality outpatient appointment service for all patients. The postholder will be responsible for ensuring that both new and follow up referrals and appointments are processed in a timely, efficient, and accurate manner and that clinics are booked in line with service requirements and national guidelines. To ensure accurate data recording with regard to outpatient appointments using the Patient Administration System (PAS), E-Referrals, Maxims and other systems. This will also include the provision of administration support to the outpatient appointment centre.
Main duties of the job:
- To maintain good communication and excellent customer service to patients, clinicians, GP surgeries and colleagues within your team and in other departments, via phone, email, letter and face to face.
- To take and process telephone calls in accordance with Trust policy and in an appropriate manner using the Netcall telephone system.
- Telephone calls will involve contact with patients, carers and health professionals.
- To communicate information to patients that may require a sensitive, understanding manner.
- Within a call centre environment competently deal with all telephone calls ensuring clear and accurate information is given as well as cancellation and reappointing of outpatient appointments within the agreed booking schedule.

Person Specification:
- Qualifications: Five GCSE's (or equivalent) level 'C' Maths and English. NVQ Administration level 2/3 or equivalent.
- Experience: Substantive experience in customer services, experience of data collection and data entry, experience of using Microsoft Office applications i.e. Excel, Word & Outlook, knowledge of Referral to Treatment times, previous experience and knowledge of NHS.
- Training: Evidence of willingness to train and develop, professional manner and self-motivated, ability to work under pressure.
- Practical skills: Awareness of good customer care standards.
