The Penlee Unit is a busy and diverse working environment. As a Ward Clerk, you will play a vital role in supporting patient care through efficient administration and excellent communication.

Key Responsibilities

  • Reception Duties: Greet, receive, and direct patients, carers and visitors at the reception desk in line with Trust procedures.
  • Telephone Management: Answer calls professionally, investigate queries, direct patients to relevant departments, book/rebook appointments, relay messages, and escalate to clinicians as needed.
  • Email Management: Maintain the generic email account, respond to queries and appointment requests promptly, and escalate when required.
  • Administrative Support: Understand and perform a full range of administrative tasks, both routine and non-routine, to support effective patient care.
  • Record Attendances, Outcomes, Referral to Treatment (RTT) and Procedure codes accurately on PAS to ensure correct funding.
  • Admit and discharge patients on PAS in a timely manner for Clinical Coding purposes.
  • Prepare notes for upcoming clinics using both legacy notes and eNotes.
  • Patient Registration: Ensure all patients arriving at the Penlee Department are promptly booked into the appointment system, notify relevant staff of their arrival, and confirm that hospital notes are directed to the appropriate clinic.
  • Admissions and Discharges: Accurately admit and discharge outpatients, process ward transfers, and update records on PAS, SWIFTPLUS and the Endoscopy Booking Tool in line with Trust policies and procedures.
  • Attendance Management: Record all attendances, discharges, cancellations, and non-attendances for endoscopy appointments, and provide patients with details of future appointments as required.
  • Clinic Preparation: Prepare clinics for the following day, ensuring all necessary information is available in eNotes and legacy folders.
  • System Proficiency: Maintain working knowledge of Maxims, Scorpio and Legacy systems.
  • Multidisciplinary Liaison: Communicate effectively with multiple specialties and multidisciplinary teams to support patient care.
  • Confidentiality: Uphold patient confidentiality at all times in accordance with Trust policy.
  • List Monitoring: Monitor appointment lists and manage short‑notice changes, ensuring timely communication and appropriate action.
  • Specialty‑Specific Tasks: Complete all tasks unique to specialty areas, including pre‑admission to EPMA, prescription requests and coordination with Pharmacy.
  • Flexibility: Demonstrate a dynamic and adaptable approach to work in a fast‑paced environment.

Person Specification

  • Essential: Previous administrative experience, Customer care skills.
