Position Summary
The Marine Administration Coordinator supports maritime compliance and vessel documentation management, assisting the Sr. Marine Administration Manager with certificates of proficiency and endorsements.
Essential Duties and Responsibilities
- Support and coordinate Certificates of Proficiency and Endorsements with Flag State Authorities and vessels, including corrections and emergency requests.
- Assist in ensuring vessel Class, Regulatory, and Flag State document compliance.
- Collaborate on managing ship certifications according to SQM Policy Manual.
- Generate reports for STCW training and certification compliance.
- Analyze training data, identify needs, and ensure accurate record entry.
- Support scheduling of Flag State, Class, and USCG inspections.
- Facilitate operations by aiding Marine Department management and ship managers with administrative tasks.
Financial Responsibilities
- Track and process invoices related to Flag State Endorsements and Certificates of Proficiency.
Qualifications
- Proficiency with Windows, email, Microsoft Word, Excel, PowerPoint, and printer equipment.
- Knowledge of Access or similar database systems.
- Strong interpersonal and communication skills.
- Ability to travel as needed.
