Position Summary: Provides advanced administrative support to the SVP, Marine. Prepares general administrative, financial, and executive reports, notices, minutes, resolutions, etc. Acts as a liaison between our executives and other internal and/or external executives, as well as with vendors, institutions, companies, media, general public, company departments, and employees. Researches and analyses information, as well as oversees and coordinates communication and information for report generation. Oversees supply budget and cost containment of the administration group. Coordinates and supports other special projects and company initiatives. Organises and keeps all corporate confidential documents and records and acts as a custodian of the materials/information. Creates and manages engaging social media posts.

Essential Duties and Responsibilities:

  • Provides advanced administrative support to the SVP, Marine of the company brands, understanding the executive business needs and coordinating all aspects of his/her agenda including the necessary arrangements for meetings, conferences, travel, events, etc.
  • Addresses, negotiates, and makes decisions about general issues, expenses, and internal financial/budget inquiries with other executives and departments as well as with vendors.
  • Prepares general administrative, financial, and executive reports, notices, minutes, resolutions, etc. for executives, executive committee, and/or board committee meetings, collecting, compiling, and performing some analysis to consolidate budget numbers, expenses, invoices, and other company general information and/or indicators.
  • Acts as a liaison between our executives and other internal or external executives, as well as with vendors, institutions, companies, media, general public, company departments, and employees.
  • Researches and analyses information, as well as oversees and coordinates communication and information for report generation supporting other executives and administrative staff in handling complex issues or special projects.
  • Oversees supply budget and cost containment of the administration group, identifying office supply needs and other demands for general services, contacting vendors, coordinating, and expediting orders as well as negotiating costs and the delivery of materials/services as needed.
  • Coordinates and supports other special projects and company initiatives, researching, analysing, and providing administrative and/or financial data to other executives/staff.
  • Organises and keeps all corporate confidential documents and records and acts as a custodian of those materials/information.
  • Provides general secretarial support to executives.
  • Creates engaging social media posts, updates and content.

Qualifications:

  • High School (Secondary) Grad or equivalent required.
  • Bachelor’s degree preferred; experience may be combined with some college education.
  • Minimum of seven to ten years of experience performing advanced and high level of administrative and secretarial support to senior executive level positions.
  • Social Media Skills.
